Job summary

Vision RT Ltd. is seeking an organised Installation Coordinator to plan and deliver equipment installations across the EMEIA and APAC regions in a fast-growing MedTech environment.

This role coordinates installation activities, schedules engineers and third-party vendors, and manages customer communications to ensure timely project delivery. • Experience coordinating engineers, stakeholders, suppliers, or third-party vendors.
• Strong attention to detail and problem solving.
• Ability to build effective working relationships with internal and external stakeholders.
• Proficiency with Microsoft Office applications and project tracking tools.
• Experience maintaining accurate records, reports, and project documentation.

Responsibilities

• Coordinate installation projects from site survey to completion.
• Schedule field service engineers, subcontractors, and third-party vendors.
• Manage customer communications regarding installation plans, site access requirements, and project updates.
• Review site surveys and communicate installation requirements to engineering teams.
• Liaise with regional managers and field engineers to agree installation schedules.
• Optimize engineer utilisation through effective resource planning.
• Manage multiple installation projects simultaneously while meeting customer expectations.
• Build and maintain relationships with customers, distributors, suppliers, engineers, and subcontractors.
• Monitor installation progress and resolve scheduling or project issues promptly.
• Track project milestones and ensure all activities are completed on time.
• Identify and elevate risks, delays, or installation concerns.
• Maintain accurate project records, documentation, and communication logs.
• Ensure all compliance requirements and installation documentation are completed.
• Produce reports and support data-gathering and analytics activities.
• Update and maintain project management platforms, including Monday.com.
• Support the creation and maintenance of installation documentation, forms, and procedures.
• Work in accordance with company quality management processes and standards.

About the role

This role is responsible for coordinating installation activities, scheduling engineers and third-party vendors, managing customer communications, and ensuring projects are delivered efficiently and on time.

The successful candidate will act as a central point of contact between customers, engineers, subcontractors, distributors, and internal teams, ensuring a seamless installation experience from initial site survey through to project completion.

Required Skills & Experience

• Previous experience in installation coordination, project coordination, scheduling, administration, or customer service with Medical Devices
• Excellent verbal and written communication skills.
• Strong organisational and time-management abilities.
• Ability to manage multiple projects and priorities simultaneously.
• Experience coordinating engineers, stakeholders, suppliers, or third-party vendors.
• Strong attention to detail and problem‑solving skills.
• Ability to build effective working relationships with internal and external stakeholders.
• Proficiency with Microsoft Office applications and project tracking tools.
• Experience maintaining accurate records, reports, and project documentation.

Desirable Skills & Experience

• Experience supporting technical, engineering, healthcare, or service-based installations.
• Familiarity with project management principles and methodologies.
• Experience using project management software and workflow tools.
• Understanding of risk, issue, and change management processes.
• Experience producing project reports and stakeholder updates.
• Project management qualifications or relevant training.
• Experience working in a fast‑paced, customer‑focused environment
