Key Responsibilities
- Deliver high‑quality customer service to prospective families, existing parents, visitors, employees, and community stakeholders.
- Welcome prospective parents and provide accurate guidance during the initial inquiry stage.
- Maintain a professional, approachable, calm, and culturally appropriate presence in the reception area.
- Ensure parents have reliable access to support for enquiries, concerns, complaints, and feedback.
- Build strong relationships with families to improve satisfaction, engagement, and student retention.
- Manage parent expectations through clear, timely, and professional communication.
- Identify and anticipate the needs of new and existing parents.
- Support the school in achieving or exceeding annual enrollment and retention targets.
- Develop practical retention strategies based on parent feedback, service performance, and enrollment trends.
- Work closely with the Admissions team to maintain a compliant and efficient admissions journey.
- Assist families through inquiry, registration, school tour, assessment, enrollment, and onboarding stages.
- Make inbound and outbound calls to prospective and existing families when required.
- Promote the school and relevant summer programmes through professional outreach.
- Log admissions inquiries and parent information accurately in the school information system.
- Ensure enrollment leads, applications, and new intake records are updated daily.
- Schedule school tours and coordinate availability with parents and the Senior Leadership Team.
- Oversee the Reception team and maintain consistently high customer service standards.
- Coach Front of House employees on communication protocols, service expectations, and complaint handling.
- Ensure telephone calls are answered, screened, transferred, and recorded professionally.
- Apply approved telephone etiquette, response templates, and communication scripts.
- Monitor reception standards and ensure the area remains clean, welcoming, safe, and properly supplied.
- Maintain brochures, forms, stationery, and other parent‑facing materials.
- Respond to parent requests and feedback within approved service‑level agreements.
- Maintain open communication with families regarding concerns, complaints, compliments, and required follow‑up.
- Manage routine parent complaints and upscale cases that cannot be resolved by the Front of House team.
- Follow the school’s complaint management process and maintain complete case records.
- Support the Principal and Head of Operations and Support Services with complex parent matters.
- Analyze parent feedback and survey results to identify service gaps and recurring concerns.
- Support parent participation in satisfaction surveys and contribute positively to Net Promoter Score performance.
- Develop school improvement actions based on the voice of customer.
- Monitor progress against agreed parent experience improvements.
- Prepare clear whole‑school emails, newsletters, magazines, notices, and parent updates.
- Ensure all communications use accurate, professional, inclusive, and on‑brand language.
- Develop school marketing strategies aligned with enrollment and community engagement priorities.
- Build annual content calendars for social media, events, parent communications, and community campaigns.
- Manage the school’s social media channels, website content, and third‑party profile information.
- Monitor online feedback and negative sentiment and coordinate appropriate responses.
- Create engaging content that highlights academic, sporting, artistic, cultural, and community achievements.
- Capture suitable photographs and stories in accordance with school policies and consent requirements.
- Identify newsworthy school activities and submit them to Aldar Education headquarters each month.
- Support the production of brochures, newsletters, campaign materials, and digital content.
- Coordinate parent events, workshops, school celebrations, activations, and community engagement activities.
- Participate in promotional events designed to increase awareness and generate enrollment inquiries.
- Develop an annual engagement plan with the Principal and Senior Leadership Team.
- Report the impact of each event and recommend improvements for future activity.
- Measure customer experience and marketing activity and submit weekly reports to headquarters.
- Highlight challenges, emerging risks, support requirements, and campaign performance.
- Analyze enrollment, feedback, marketing, and event data to support informed decisions.
- Attend relevant leadership, admissions, parent engagement, and operational meetings.
- Work collaboratively with school leadership, Admissions, Front of House, Marketing, Finance, and operations teams.
- Maintain confidentiality when handling student, parent, admissions, complaint, or safeguarding information.
- Apply child protection and safeguarding requirements in all parent‑facing activities.
- Escalate safeguarding concerns immediately through approved school procedures.
- Contribute to continuous learning, knowledge sharing, and service improvement.
- Complete additional duties assigned by direct or dotted‑line managers.
Ideal Profile
- Bachelor’s degree from a recognized institution.
- Minimum 2 years of experience in a comparable parent relations, customer service, admissions, marketing, or Front of House role in the region.
- Previous customer service experience is essential.
- Experience in the education sector is preferred.
- Arabic‑speaking capability is required for the role.
- Fluent English communication skills, both written and spoken.
- Strong interpersonal skills for working with parents from diverse cultural backgrounds.
- Experience managing customer enquiries, complaints, service recovery, and sensitive conversations.
- Ability to support enrollment, retention, admissions, and parent engagement objectives.
- Knowledge of social media management, school communications, and community marketing.
- Ability to prepare newsletters, website content, social posts, brochures, and event communications.
- Strong analytical skills with the ability to review information systematically and make informed decisions.
- Confident using customer experience, enrollment, survey, and marketing data.

Benefits
