Administration Coordinator – Customer Experience in Abu Dhabi Emirate, United Arab Emirates is a primary-secondary education opportunity for an organized and service-focused administrative professional who can support parent enquiries, customer experience coordination, admissions activity, reception workflows, school communications, and engagement events. This role at Yasmina British Academy is designed for someone who can manage accurate data, timely follow‑up, professional documentation, and smooth coordination across parent relations, reception, admissions, and school leadership. The successful candidate will help ensure that every family interaction is handled with care, speed, consistency, and strong attention to detail.

The Administration Coordinator – Customer Experience will act as a key operational support point for the school’s parent-facing services. The role helps turn enquiries, feedback, complaints, compliments, events, and communication tasks into well‑managed processes that are tracked, followed up, and completed professionally. By maintaining clean records, coordinating meetings, preparing documents, supporting admissions and reception during busy periods, and keeping feedback loops visible, the coordinator will help strengthen the parent experience and support the Customer Experience team in delivering reliable service across the school community.

Key Responsibilities
  • Provide administrative support to the Customer Experience team, Parent Relations, Reception, Admissions, and School Leadership Team.
  • Manage incoming parent enquiries and ensure each enquiry is acknowledged, logged, triaged, and followed up within agreed service standards.
  • Maintain clear records of parent complaints, compliments, feedback, actions, and resolutions for accurate tracking and reporting.
  • Identify recurring enquiry or complaint themes and upscale useful insights to the Parent Relations Executive and Customer Experience Manager.
  • Support Admissions and Reception during peak periods, including enrolment activity, open days, family visits, and high‑volume enquiry periods.
  • Maintain parent feedback trackers, survey logs, action logs, enquiry databases, and follow‑up reports with accuracy and consistency.
  • Prepare reports and simple analysis from feedback, survey results, parent interactions, and engagement records for school decision‑making.
  • Plan and coordinate parent engagement events and activities from preparation through delivery and follow‑up.
  • Coordinate Parent Council meetings and initiatives, including agendas, minutes, action trackers, logistics, and post‑meeting follow‑up.
  • Support the Parent Relations Executive with school social media coordination, including content planning, approval tracking, scheduling, and maintaining the content calendar.
  • Prepare professional letters, presentations, reports, agendas, meeting notes, and parent‑facing communication documents.
  • Coordinate departmental meetings, schedules, correspondence, document distribution, and internal communication to keep daily operations running smoothly.
  • Monitor office and team supplies, raise requests ahead of need, and prevent avoidable delays in school support activities.
  • Maintain accurate trackers, databases, and administrative files that can be relied on by the CX team and school leadership.
  • Use Microsoft Office, Excel, CRM systems, admissions platforms, survey tools, and feedback systems to capture and manage information.
  • Handle confidential parent, student, and school information with professionalism and in line with school policies.
  • Support continuous improvement by keeping processes organized, spotting errors early, and recommending practical ways to improve response quality.
  • Follow school procedures related to safeguarding, data accuracy, confidentiality, communication standards, and professional conduct.
Ideal Profile
  • High School Certificate or Diploma is required.
  • Bachelor’s Degree is preferred.
  • 3-5 years of experience in administration, customer service, customer experience, front office support, or coordination roles.
  • Previous experience in a school, education environment, admissions office, parent relations team, or customer experience function is preferred.
  • Strong English communication skills with the ability to write clear, professional, parent‑appropriate communication.
  • Excellent organizational and administrative ability with strong attention to detail.
  • Able to manage enquiries, trackers, reports, schedules, documents, meetings, and deadlines without losing accuracy.
  • Strong customer service mindset with empathy for the parent experience and a proactive approach to follow‑through.
  • Confident using Microsoft Office, especially Excel for trackers, reports, lists, and basic feedback analysis.
  • Comfortable working with survey tools such as Qualtrics and CRM or admissions systems used to capture parent interactions.
  • Familiarity with social media scheduling tools, content calendars, approval workflows, and school‑appropriate public communication.
  • Strong time management and prioritization skills, especially during enrolment, open days, events, and busy school periods.
  • Able to identify errors, incomplete records, missed follow‑ups, or communication risks before they affect parents or leadership.
  • Professional, discreet, and reliable when handling confidential information and sensitive parent concerns.
  • Positive, calm, and solution‑focused when dealing with varied requests from families, colleagues, and leadership.
  • Experience with school systems will be an advantage.
