Role Context
The Logistics Specialist will support the daily movement of merchandise and non-merchandise items across Majid Al Futtaim Lifestyle operations. The role connects suppliers, service providers, stores, warehouses, regulatory bodies, Finance Shared Service Centre teams, Visual Merchandising, Marketing, and internal business stakeholders. Accurate coordination will improve product availability, reduce delays, control logistics expenditure, and help stores receive the right items within agreed timelines.
Key Responsibilities
- Execute end-to-end supply chain and logistics activities for assigned merchandise categories.
- Coordinate the movement of products from suppliers through warehouses and onward to stores.
- Monitor purchase-related logistics requirements and ensure shipments progress according to agreed schedules.
- Manage Request for Quotation activities in line with approved end-to-end processes and service level agreements.
- Prepare and issue quotation requests to approved logistics and service providers.
- Compare quotations against cost, service capability, delivery timelines, and business requirements.
- Maintain complete Request for Quotation documentation and ensure compliance with internal procedures.
- Coordinate the registration of products with relevant regulatory authorities.
- Track product certificates, approvals, permits, and supporting documentation.
- Ensure regulatory certificates remain valid and initiate renewals before expiry.
- Follow up on incomplete registrations or documentation that may delay product movement or sale.
- Validate service provider invoices against agreed rates, contracts, quotations, and completed services.
- Investigate discrepancies involving freight charges, handling fees, storage costs, or other logistics expenses.
- Coordinate corrections with suppliers or service providers before invoice submission.
- Submit approved billing invoices through the relevant internal systems.
- Follow up with the Finance Shared Service Centre to ensure invoices are processed on time.
- Maintain accurate records of submitted invoices, approvals, payment status, and outstanding actions.
- Monitor daily store replenishment activity and identify delayed or incomplete deliveries.
- Coordinate launch deliveries for new products, campaigns, collections, and store openings.
- Manage store returns and ensure returned merchandise is documented and routed correctly.
- Track orders and deliveries for merchandise and non-merchandise items.
- Support Visual Merchandising and Marketing requirements by coordinating time-sensitive product and material deliveries.
- Provide stakeholders with accurate updates on shipment status, delivery timing, stock movement, and outstanding issues.
- Escalate delays, regulatory concerns, invoice disputes, or service failures that may affect operations.
- Maintain strong working relationships with suppliers, freight providers, warehouses, stores, and internal teams.
- Coordinate with procurement, finance, buying, warehouse, retail operations, and commercial stakeholders.
- Monitor service provider performance against agreed service levels and delivery expectations.
- Identify recurring operational issues and recommend practical improvements.
- Support cost-efficiency initiatives by reviewing logistics charges, delivery patterns, and provider performance.
- Maintain accurate shipment, order, invoice, registration, and delivery records.
- Prepare operational reports covering replenishment, deliveries, returns, invoices, and service performance.
- Use Microsoft Excel to track transactions, reconcile data, and highlight exceptions.
- Ensure supply chain activities comply with approved procedures and regulatory requirements.
- Manage multiple priorities while maintaining accuracy in a high-volume retail environment.
Ideal Profile
The successful candidate will hold a bachelor 's degree in Supply Chain Management, Logistics, Business Administration, or a related field. Applicants should have 3-5 years of experience in supply chain, logistics, distribution, retail operations, freight coordination, or a comparable role. Previous exposure to a high-volume, multi-site retail organization will be an advantage. Candidates should understand store replenishment, delivery coordination, invoice validation, service provider management, product registration, and operational reporting. Strong Microsoft Office skills are required, particularly in Excel, Word, and PowerPoint. The preferred candidate will be comfortable working with transaction data, tracking sheets, invoice records, and internal business systems.
