Job summary

German Tech Machinery LLC in Dubai seeks a Logistics Coordinator cum Admin Assistant to own the movement of goods and to support the wider team administratively. You will track machines, spare parts and consumables from Europe to customers across the GCC, coordinating with suppliers, freight forwarders, customs brokers and internal teams.

You will ensure on-time deliveries, handle documentation, and support sales, service and finance with admin tasks.

Qualifications

• Experience in logistics coordination, shipping or supply chain.
• Working knowledge of shipping documentation and transportation coordination.
• Strong Microsoft Office skills, particularly Excel.
• Clear written and spoken English, with ability to coordinate with suppliers and customers.
• Well organized and able to manage multiple shipments simultaneously.
• Willing and able to perform hands-on warehouse duties during the initial phase.

Since 2010 we have supplied and serviced industrial woodworking and packaging machinery across the Middle East. We represent leading European manufacturers - including Weinig, Holz-Her, Martin, Lamello and Mahr - and support customers in the UAE, Kuwait, Bahrain and Oman with machine sales, spare parts, installation, commissioning and after-sales service.

We are a team of around 22 people based in Ras Al Khor Industrial Area, Dubai. Small enough that you will know everyone's name and deal directly with management. Established enough that the machines you help move are six-figure capital equipment going into serious production facilities.

The role

We are looking for a Logistics Coordinator cum Admin Assistant to own the movement of goods into and out of our business, and to support the wider team administratively.

You will be the person who knows where every shipment is. Machines, spare parts and consumables arrive from European manufacturers and go out to customers across the GCC. You will coordinate that flow end to end - working with suppliers, freight forwarders, customs brokers, and our sales, service and finance teams.

This is a role with visible impact. When a machine arrives on schedule and clears customs without a problem, that is you. When a customer's production line is waiting on a spare part, you are the one who gets it there.

What you will do

Logistics coordination

• Track shipments from European suppliers from dispatch through to arrival
• Coordinate with freight forwarders, shipping lines and customs brokers
• Prepare and verify shipping and import documentation
• Arrange customs clearance and inland transport
• Schedule and confirm customer deliveries with the sales and service teams
• Maintain accurate records of goods in transit and keep colleagues updated on delivery dates

Administration

• Prepare and manage sales quotations, reports and data records in Excel
• Support HR, sales, finance and management with administrative tasks
• Maintain documentation and filing

What we are looking for

• Experience in logistics coordination, shipping or supply chain - ideally within a trading, distribution or equipment business
• Working knowledge of shipping documentation and transportation coordination
• Strong Microsoft Office skills, particularly Excel - you should be comfortable building and maintaining quotations, reports and data records, not just opening a spreadsheet
• Clear written and spoken English, and the confidence to coordinate directly with suppliers, forwarders, customers and colleagues
• Well organised and accurate, able to keep several shipments moving at once without losing track of any of them
• Willing and able to take on hands-on warehouse duties during the initial phase, including regular physical handling of goods

Advantageous

• Knowledge of UAE import and export procedures and customs documentation
• Experience with machinery, industrial equipment or other technical products
• Additional languages, particularly German or Arabic
