Job summary

New York University Abu Dhabi (NYUAD) seeks to appoint an Employee Mobility Services Specialist reporting to the Assistant Director, Relocation Services. The role manages relocation and repatriation processes, coordinating with recruitment, housing, immigration and external providers to ensure smooth onboarding and transitions for faculty, researchers and staff.

Qualifications

• Bachelor's degree in a related field.
• 5+ years experience administration in a busy environment.
• Excellent computer skills with strong internet research capabilities.
• Ability to handle and prioritize multiple assignments and projects on time-sensitive schedules.
• Excellent interpersonal communication skills, customer service orientation and cultural sensitivity.
• Demonstrated initiative, problem-solving ability and capacity for resourcefulness.
• Proactive problem-solving abilities and the capacity to work effectively under pressure.
• Ability to multi-task, prioritize tasks and manage time efficiently in a dynamic work environment.

Responsibilities

• Relocation pipeline updates upon new offer letters.
• Timely communication with new hires about relocation process.
• Maintain accurate relocation records and documentation.
• Coordinate with HR and recruitment teams during relocation.
• Arrange travel, housing, and shipping for relocated employees.
• Monitor relocation expenses and adhere to budget guidelines.
• Coordinate with approved providers for relocation services.
• Arrange on-campus or other housing for relocating employees.
• Coordinate with immigration for work and entry permits for international hires.
• Assist with repatriation-related queries and records.
• Process relocation allowances and reconcile invoices.
• Support Web Team with department updates and housing allocations.
• Maintain arrival records and update recruitment teams as needed.
• Maintain electronic employee files in HR systems.
• Collaborate with external service providers for relocation experiences.
• Liaise with immigration to initiate visa requests for dependents.
• Scheduling and holding relocation briefings; send briefing summaries.
• Coordinate with service providers to initiate required relocation services.
• Send Safe Journey information to new hires prior to traveling.
• Conduct first-day orientation for new hires.
• Serve as helpdesk for community members and new joiners
