Guest Reception & Entry
- Welcome all guests in a warm, confident, and professional manner.
- Create an excellent first impression consistent with the nightclub's brand and service standards.
- Verify reservations, guest lists, invitations, and table bookings.
- Coordinate guest entry with security and management.
- Direct walk-in guests regarding table availability, entrance policies, and venue information.
- Ensure guests are efficiently directed to their tables or appropriate areas of the venue.
- Maintain an organized entrance and reception area, particularly during peak arrival periods.
Reservations & Table Management
- Maintain accurate information regarding reservations, table bookings, guest lists, and special requests.
- Confirm guest names, party sizes, table categories, minimum-spend requirements, and other booking details.
- Coordinate closely with the reservations team, VIP hosts, floor managers, and management regarding table availability.
- Update reservation and guest-management systems accurately.
- Immediately communicate late arrivals, cancellations, no-shows, additional guests, and booking changes.
- Avoid unauthorized table changes or commitments without approval from the appropriate manager.
VIP & Guest Relations
- Recognize and appropriately welcome VIPs, regular guests, promoters, influencers, partners, and other priority customers.
- Inform the relevant VIP host or manager when important guests arrive.
- Escort VIP guests or arrange for the appropriate team member to receive them.
- Maintain discretion and confidentiality regarding VIP guests and their bookings.
- Remember regular guests and their preferences wherever possible.
- Assist with special occasions such as birthdays, celebrations, corporate bookings, and private events.
Guest Screening & Door Coordination
- Work closely with security and management to maintain the nightclub's entry standards.
- Professionally communicate dress-code, reservation, capacity, age, and entry requirements to guests.
- Refer identification, security, intoxication, or entry disputes to authorized security or management personnel rather than attempting to resolve security matters independently.
- Remain calm and diplomatic when dealing with guests who are refused entry or whose reservations cannot be accommodated.
- Never make unauthorized exceptions to venue entry policies.
Customer Service & Complaint Handling
- Respond professionally to guest questions, requests, and concerns.
- Handle minor complaints calmly and elevate significant issues to management.
- Avoid arguments or confrontations with guests.
- Maintain professionalism even when dealing with difficult, impatient, or intoxicated customers.
- Communicate guest feedback and recurring issues to management.
Communication & Coordination
- Maintain continuous communication with the floor team regarding guest arrivals and table status.
- Coordinate with security, reservations, VIP hosts, waitstaff, promoters, cashiers, and management.
- Attend pre-shift briefings to understand expected VIPs, reservations, special events, promotions, and operational instructions.
- Provide accurate information to guests regarding venue facilities, operating hours, entertainment, events, and promotions.
Administration
- Maintain accurate guest lists and reservation records.
- Record cancellations, no-shows, walk-ins, and booking changes where required.
- Assist management with guest database collection and updating in accordance with company procedures and applicable privacy requirements.
- Prepare or assist with end-of-night reports regarding reservations, arrivals, no-shows, and guest issues where required.
Desired Candidate Profile
- Previous experience as a Hostess, Receptionist, Guest Relations Executive, VIP Hostess, or Front Desk Hostess, preferably within a nightclub, luxury restaurant, lounge, beach club, hotel, or premium hospitality venue.
- Excellent spoken English.
- Russian, Arabic, or other additional languages are a strong advantage depending on the venue's target clientele.
- Excellent communication and interpersonal skills.
- Confident and professional when interacting with VIP and high-spend guests.
- Strong organizational and multitasking ability.
- Experience with restaurant/nightclub reservation or guest-management systems is advantageous.
- Ability to remain calm under pressure during busy entry periods.
- Professional appearance and excellent grooming standards.
- Strong understanding of discretion and guest confidentiality.
- Ability to work late nights, weekends, public holidays, and special events.
