Role Context
The Expeditor - Project Materials helps keep energy project execution on schedule by maintaining visibility over purchase order progress, supplier commitments, documentation status, fabrication milestones, and material delivery timelines. The role links procurement, engineering, logistics, project teams, suppliers, fabrication units, and construction teams to ensure materials are tracked, issues are escalated early, and delays are resolved before they affect project milestones. Strong expediting discipline in this position supports delivery reliability, schedule protection, material availability, and smoother execution across complex oil and gas project supply chains.
Key Responsibilities
- Work on assigned projects and understand the project expediting strategy, purchase order priorities, delivery risks, and material schedule requirements.
- Execute expediting activities according to the expediting level assigned to each purchase order.
- Review purchase order delivery requirements to confirm that supplier commitments meet project schedule and site requirements.
- Liaise with suppliers, procurement teams, logistics, engineering, fabrication, construction, and project teams to confirm the status of goods and materials.
- Prepare timely weekly expediting reports and maintain accurate project status updates in company systems.
- Track supplier documentation, manufacturing progress, inspection status, shipment readiness, and delivery milestones for assigned packages.
- Identify supplier delays, documentation gaps, fabrication concerns, sub-supplier issues, engineering drawing delays, and resource constraints.
- Drive issue resolution with suppliers and internal stakeholders to reduce delivery risk and protect project timelines.
- Update expediting records consistently and distribute reports to project teams and suppliers for clear visibility on package progress.
- Flag concerns, bottlenecks, missed milestones, or potential delivery issues for early discussion and corrective action.
- Coordinate expediting issues between departments, offices, fabrication teams, construction teams, procurement groups, and suppliers.
- Notify and collaborate with logistics teams on material movements that fall under company responsibility.
- Support material delivery optimization by understanding expediting workload, action levels, supplier priorities, and shop demand.
- Maintain focus on project end products, whether linked to procurement, engineering, fabrication, construction, or installation activities.
- Use established expediting procedures and company policies to support consistent and compliant project execution.
- Communicate effectively with procurement and non-procurement personnel to clarify material status, delivery concerns, and supplier commitments.
- Support other expediting activities as assigned by the project or procurement leadership team.
Ideal Profile
The ideal candidate should have practical experience in project expediting, procurement coordination, supplier follow‑up, material tracking, or logistics support within oil and gas, EPC, fabrication, construction, or energy project environments. This role requires someone who can work accurately with purchase orders, supplier documentation, delivery schedules, and material management systems.
- Bachelor's Degree or equivalent qualification in Supply Chain Management or a relevant discipline.
- HSD, GED, or IGCSE may be considered with relevant expediting experience.
- 3-6 years of relevant experience in expediting, procurement support, supplier coordination, or materials management.
- Knowledge of the expediting process as it relates to procurement, purchase orders, supplier follow‑up, and project delivery control.
- Experience expediting supplier documentation, piping bulks, electrical bulks, instrumentation bulks, regulators, gauges, PSVs, and related project materials.
- Experience expediting mechanical equipment is an advantage.
- Understanding of materials management systems used for procurement, logistics, and project execution.
- Knowledge of Unifi expediting processes is preferred.
- Working knowledge of Microsoft Office applications including Word, Excel, Outlook, and Access.
- Good understanding of the overall material management lifecycle from purchase order placement through delivery and site readiness.
- Ability to communicate clearly with suppliers, procurement teams, logistics teams, project personnel, and non-procurement stakeholders.
- Strong follow‑up discipline with the ability to identify delays, update systems, and elevate concerns in a timely manner.
- Team‑oriented approach with the ability to work well across functions in a project‑driven environment.
