Executive Assistant to Entrepreneurial Founder

Location: Dubai (Hybrid – mix of remote and in-person)

This is not a traditional EA position. As the Executive Assistant to a global founder, you will be a trusted extension of the executive, managing not just time and communication but also building systems that create clarity, speed, and leverage in a fast-moving world. You will act as a confidant and decision buffer, handling what you can independently while ensuring the founder focuses only on the highest priorities. You’ll work at the intersection of business and family life, exercising absolute discretion and professionalism while helping create a culture that is both high-performing and enjoyable. Responsibilities

Business & Investments

  • Collaborate to design, agree, and implement standard operating procedures for email, calendar, and time management.
  • Fully manage the founder’s email inbox and calendar with clarity and precision.
  • Prepare and execute daily and weekly sync catch-ups with the founder.
  • Draft, edit, and manage professional communications with excellent written English.
  • Coordinate travel, events, and meetings across multiple time zones.
  • Draft and circulate meeting minutes, track follow-ups, and ensure deliverables are completed across multiple businesses and projects.

Execution & Decision-Making

  • Exercise sound judgment and make decisions within agreed delegation authority.
  • Ensure the founder shows up with consistency to agreed daily and weekly syncs, preparing agendas in advance and managing reminders in a professional, non-intrusive way.
  • Provide effective and efficient communication both internally and externally.
  • Manage billing, payments, and vendor relationships with reliability.
  • Handle shifting priorities and unexpected pivots with urgency and composure.
  • Suggest and implement improvements to how the founder and teams work.

Organisation & Collaboration

  • Build and maintain a well-documented, organised system for collaboration, ensuring smooth workflows.
  • Implement and optimise digital tools for productivity, scheduling, and knowledge management.
  • Maintain Standard Operating Procedure documents to extend best practices across business and investment teams.

Family & Lifestyle

  • Exercise absolute discretion and confidentiality.
  • Organize family travel, logistics, and household coordination as needed.
  • Integrate business and personal schedules seamlessly.
  • Be available for after-hours emergencies and willing to travel internationally if required.
  • Manage vendors and services across continents with professionalism.
