Document Controller – Interior Design & Project Delivery

4SPACE Design is seeking an organised and detail-focused Document Controller to manage project information across our interior design, technical design, and project-management projects.
The successful candidate will ensure drawings, submissions, approvals, correspondence, and project records are accurately registered, distributed, tracked, and securely maintained throughout the project lifecycle.
Key Responsibilities
- Maintain document-control systems, folder structures, naming conventions, and distribution workflows.
- Register and track drawings, specifications, material submissions, RFIs, reports, meeting minutes, and correspondence.
- Control document revisions and ensure teams work from the latest approved information.
- Manage incoming and outgoing document transmittals.
- Maintain drawing registers, submission trackers, approval logs, RFI logs, and document-status reports.
- Coordinate document submissions with clients, consultants, contractors, suppliers, and internal teams.
- Monitor review deadlines and follow up on overdue submissions and approvals.
- Check documents for numbering, formatting, completeness, and required attachments before issue.
- Archive superseded documents while maintaining a clear and auditable revision history.
- Prepare weekly document-control reports and highlight overdue or missing information.
- Support project handover by compiling approved drawings, warranties, manuals, certificates, and close-out records.
- Maintain confidentiality and comply with 4SPACE's information-management standards.
Candidate Profile
- Diploma or bachelor's degree in Business Administration, Engineering, Construction Management, or a related field.
- Minimum 3 years of document-control experience within interior design, architecture, engineering, consultancy, or fit-out projects.
- UAE or GCC project experience is strongly preferred.
- Good understanding of drawing revisions, transmittals, submissions, RFIs, approvals, and project correspondence.
- Strong attention to detail, organisation, follow-up, and time-management skills.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Experience with Aconex, Asite, Procore, Autodesk Construction Cloud, SharePoint, or similar platforms is an advantage.
- Familiarity with project-management systems is an advantage.
- Strong written and spoken English.
- Able to coordinate professionally with multiple teams and stakeholders.
