About the Role

This role is central to ensuring that all meeting rooms are impeccably prepared and that beverages and refreshments are served to the highest standard for all meetings, with particular focus on VIP visitor and executive‑level hospitality. This is a highly visible service‑focused position that demands a professional, well‑presented individual with a genuine commitment to 5‑star hospitality standards. The successful candidate will take pride in the details—from perfectly laid meeting‑room setups to the timely and gracious service of refreshments—ensuring every meeting reflects the prestige and professionalism of the organization.

Key Responsibilities

• Meeting Room Preparation – Prepare and set up all assigned meeting rooms prior to each booking in accordance with the meeting specifications provided by the Front of House Team Leader. Ensure tables, seating arrangements, notepads, pens and all required materials are arranged neatly and to the required standard before each meeting. Set up beverage stations with water, glassware, crockery and refreshments according to meeting type, guest profile and host preferences. Conduct a final pre‑meeting room inspection to ensure impeccable presentation before guests arrive. Reset and restore meeting rooms promptly after each session, ensuring they are cleared, cleaned and ready for the next booking.
• Beverage & Refreshment Service – Serve beverages, refreshments and light catering to meeting attendees in a professional, timely and unobtrusive manner consistent with 5‑star hospitality standards. Provide attentive, personalised service to VIP visitors and senior executives, anticipating needs and ensuring a seamless and memorable hospitality experience. Manage hot beverage preparation including tea, coffee and speciality drinks with accuracy and care. Monitor refreshment levels throughout meetings and replenish proactively without disrupting proceedings. Coordinate with the Team Leader and catering providers to ensure all orders are correctly fulfilled and delivered on time.
• VIP & Executive Hospitality – Deliver an elevated, discreet and courteous level of service during all VIP, Board and executive‑level meetings. Greet and acknowledge guests warmly upon entry to meeting rooms, ensuring they feel welcomed and well‑attended to. Respond promptly and professionally to any ad‑hoc requests from meeting hosts or VIP attendees. Maintain a composed, respectful and attentive presence throughout high‑profile meetings without being intrusive.
• Housekeeping Standards – Maintain the cleanliness, organisation and presentation of pantry areas, beverage stations and service trolleys at all times. Ensure all crockery, glassware and service equipment are clean, polished and in good condition before use. Report any equipment defects, shortages or facility concerns to the Front of House Team Leader promptly. Assist with general front‑of‑house housekeeping tasks as directed by the Team Leader.
• Coordination & Support Work – Work closely with the Front of House Team Leader to receive daily briefings on meeting schedules, VIP arrivals and special requirements. Communicate proactively with the Team Leader on any room readiness issues, service delays or guest requests. Support the broader Front of House team during peak periods, corporate events and special functions as required. Maintain accurate records of beverage and refreshment consumption to support inventory management.

• Demonstrated ability to deliver attentive, discreet and professional beverage and refreshment service.
