We are looking for a highly organised, customer-focused and detail-oriented Sales and Administrative Coordinator to provide efficient administrative and sales support to the Enterprise & DPP Account Management team.
The role is responsible for coordinating sales activities, providing first-line support to resellers, managing stock allocations and price-list administration, processing customer requests and ensuring accurate, timely operational feedback. The successful candidate will play an important role in delivering an exceptional reseller experience while supporting revenue growth, operational optimisation and risk reduction.
Key responsibilities
First-line sales support
- Provide day-to-day administrative and sales support to Account Managers.
- Assist Account Managers with client communication, follow-ups and general sales administration.
- Act as the first point of contact for reseller queries relating to quotes, stock availability and product information.
- Respond to reseller requests accurately and within agreed service-level timelines.
- Provide resellers with accurate product, pricing and stock information.
- Recommend suitable alternative SKUs or product options when requested items are unavailable.
- Escalate unresolved or complex queries to the relevant Account Manager with all relevant information and context.
- Maintain accurate records of reseller queries, requests and escalations.
General administration and stock allocation
- Manage the stock allocation process for resellers from request through to completion.
- Provide accurate weekly stock allocation feedback to Order Management and planning teams.
- Identify stock requirements and submit additional allocation requests to planners where required.
- Maintain accurate records of stock allocations and related requests.
- Manage the distribution of price lists to resellers with a high level of accuracy and confidentiality.
- Ensure the correct price list is shared with the correct partner, particularly when pricing changes are implemented.
- Generate CTOs for Enterprise and DPP customers based on reseller requirements.
- Share reseller invoices in accordance with established company processes.
- Maintain accurate documentation and administrative records relating to reseller transactions.
Customer service
- Deliver professional, responsive and customer-focused service to all resellers.
- Ensure reseller queries are acknowledged and resolved within agreed service-level requirements.
- Build strong working relationships with resellers and internal stakeholders.
- Identify recurring reseller issues and communicate trends, opportunities and concerns to the Account Manager team.
- Participate in weekly catch-ups with Account Managers to discuss opportunities, issues, outstanding items and timelines.
- Proactively follow up on outstanding requests to ensure a seamless customer experience.
- Escalate significant customer issues appropriately and timeously.
Reporting and operational support
- Provide accurate operational feedback and reporting to relevant internal stakeholders.
- Ensure data captured across sales support and stock allocation processes is accurate and up to date.
- Track outstanding requests and ensure they are progressed within agreed timelines.
- Work closely with Account Managers, Order Management, planners and other internal teams to resolve operational issues.
- Identify opportunities to improve administrative processes and optimise reseller support.
- Maintain confidentiality when dealing with pricing, customer and commercially sensitive information.
Minimum requirements
- Bachelor of Commerce (General) or equivalent qualification preferred.
- 4+ years' experience in sales support, administration, sales coordination or a similar role.
- Experience within a B2B, wholesale or Enterprise environment would be advantageous.
- Exposure to stock allocation, price-list management and reseller administration.
- Advanced Microsoft Excel skills.
- Strong written and verbal communication skills.
- Proven customer service experience.
- Strong attention to detail and a high level of accuracy.
- Experience managing multiple priorities, tasks and stakeholders in a fast-paced environment.
