Job summary

Sala Beach House in Glen Anil, Durban, is seeking a Reservations Coordinator to lead reservations for Sala Beach House and support trade and group bookings across Ghost Mountain Inn.

The role requires at least 2 years of hotel reservations experience, Opera PMS proficiency, and a proactive, sales-driven approach to convert inquiries into bookings and manage deposits, payments, and confirmations.

Qualifications

• Minimum 2 years’ professional hotel, lodge or hospitality reservations experience.
• Strong knowledge of Opera PMS essential.
• Experience handling group reservations and rooming lists.
• Excellent attention to detail.
• Proactive, sales-focused with strong communication.
• Experience across multiple communication channels (email, phone, WhatsApp, social).

Responsibilities

• Manage reservation inquiries across email, telephone, WhatsApp, social media, website and trade channels.
• Prepare quotations and convert enquiries into bookings.
• Follow up provisional bookings, deposits and outstanding payments.
• Ensure payments are correctly allocated to reservations.
• Manage confirmations, cancellations and booking terms accurately.
• Process trade bookings from tour operators, travel agents and DMCs.
• Assist with group reservations, rooming lists, allocations and related booking administration.
• Monitor allocations, option dates and trade pickup.
• Maintain accurate guest, agent and reservation records.
• Identify opportunities to extend stays or add experiences.
• Work closely with Trade Sales & Marketing Coordinator and property teams.

We’re recruiting a Reservations Coordinator to join our hospitality head office team in Glen Anil, Durban.

The role will take primary responsibility for Sala Beach House reservations, while also supporting trade and group reservations across our growing hospitality portfolio, including Ghost Mountain Inn.

We’re looking for someone with strong hotel reservations experience who is accurate, organised, commercially minded and guest focused. This is not simply an administrative booking role. The right person should be comfortable converting enquiries into bookings, following up proactively and ensuring that reservations, deposits, payments and confirmations are properly controlled.

Key responsibilities include:

• Managing reservation enquiries across email, telephone, WhatsApp, social media, website and trade channels
• Preparing quotations and converting enquiries into confirmed bookings
• Following up provisional bookings, deposits and outstanding payments
• Ensuring payments are correctly allocated to reservations
• Managing confirmations, cancellations and booking terms accurately
• Processing trade bookings from tour operators, travel agents and DMCs
• Assisting with group reservations, rooming lists, allocations and related booking administration

• Working closely with our Trade Sales & Marketing Coordinator and property teams

We’re looking for someone who has:

• At least 2 years’ professional hotel, lodge or hospitality reservations experience
• Practical working knowledge of Opera, which is essential for this role
• Experience handling group reservations, allocations and rooming lists
• Strong attention to detail
• Excellent written and verbal communication
• Confidence working with rates, deposits, commissions and payments
• A proactive and sales-focused approach
• Strong organisational and follow-up skills
• Experience working across multiple communication channels
• Experience dealing with tour operators, travel agents or DMCs would be an advantage

This is a full-time, on-site head office position based in Glen Anil, Durban.
