REPAIRS COORDINATOR
PURPOSE OF THE POSITION
The Repairs Coordinator is responsible for the effective coordination and administration of the company's repair processes. The position ensures that all professional repairs are accurately booked in, tracked, quoted, followed up and processed through to completion within the required turnaround times.
The Repairs Coordinator serves as an important link between customers, branches, the Workshop, suppliers and external service providers, ensuring that repair-related queries are attended to promptly and that customers and branches receive regular updates regarding the progress of their repairs.
The role requires strong organisational and administrative skills, attention to detail, effective communication and the ability to manage multiple repair jobs simultaneously.
Duties and Responsibilities
- Booking in and registering all professional repairs received from customers and branches.
- Coordinating and monitoring repairs from receipt through to completion and return.
- Liaising with the Workshop regarding repair evaluations, progress and completion dates.
- Preparing and sending repair quotations to customers and branches.
- Following up on outstanding quotations and obtaining customer/branch approval.
- Maintaining an accurate repair schedule and monitoring outstanding repairs.
- Handling customer and branch queries relating to repairs, quotations and turnaround times.
- Coordinating the movement of repairs between branches, the Workshop, suppliers and external service providers.
- Coordinating instruments sent for calibration and monitoring completion and return dates.
- Ensuring completed repairs are correctly processed for invoicing and dispatch.
- Preparing daily and periodic reports on repairs, quotations and outstanding work.
- Assisting with monthly Workshop stock takes and re-order requests.
- Coordinating certification and documentation for Intrinsically Safe Instruments where required.
- Maintaining accurate repair records and documentation.
- Following up on repairs that have not received approval within the required period and arranging their return where necessary.
- Performing any other duties reasonably required for the effective operation of the Repairs and Workshop function
Qualifications
- Grade 12 / Matric.
- Relevant qualification in Administration, Operations, Customer Service or a related field will be advantageous.
- Computer literacy, including Microsoft Office.
Experience
- 2–3 years’ experience in an administrative or coordination role.
- Experience in a repairs, workshop, technical or service environment will be advantageous.
- Experience dealing with customers and branches.
- Experience with quotations, invoicing and job tracking will be advantageous.

Remuneration Package:
- Basic Salary: R 17 000.00
