Job summary

A diagnostic laboratory is seeking a dynamic and mature individual for an administrative role. The ideal candidate will possess computer literacy and have at least 3 years of experience in administrative work. Responsibilities include processing samples, handling queries, and ensuring adherence to standard operating procedures. This position requires the ability to work under pressure and effectively communicate with medical professionals and clients.

Qualifications

  • Able to work shifts with own reliable transport.

Responsibilities

  • Administers sorting and distribution of samples according to set standard operating procedures.
  • Processes sample registration and queries according to set standard operating procedures.
  • Ensures dispatching of specimens for processing in accordance with prescribed standard operating procedures.
  • Handles and refers administrative queries and customer complaints to ensure timely resolution.
  • Responsible for samples being tracked into the lab via couriers and sisters.
  • Investigates bottlenecks in pre-analytical processes and ensures timely resolution.
  • Ensures basic housekeeping in the working area, including cleaning and preparation of equipment.
  • Monitors stock levels and orders additional stock to ensure availability.
  • Interacts professionally with medical professionals, clients and staff.
  • Receives cash and ensures banking of monies as per procedures.
  • Documents and actions tasks on the laboratory information management system.
  • Prepares and scans patient forms onto the scanning system.
  • Liaises with medical aids via email / telephone.
  • Ad-hoc admin duties.

Responsibilities

  • Handles and refers administrative queries and customer complaints to ensure timely resolution of queries and responses to complaints.
  • Responsible for samples being tracked into the lab via couriers and sisters.
  • Investigates bottleneck in pre-analytical laboratory processes and ensure timely resolution of challenges.
  • Ensures basic housekeeping in own working area, including suitable cleaning and preparation of equipment according to set standard operating procedures.
  • Monitors stock levels and orders additional stock to ensure the availability of required materials at all times and ensure delivery of stock to the department.
  • Represents the organisation by applying the principles of customer care in the medical pathology field and interacts professionally and ethically with medical professionals, clients and staff.
  • Receives cash from couriers, sisters and depots and ensures banking of monies in accordance with relevant standard operating procedures.
  • Reports incidents, generate customer complaints and be solution orientated. Document and action tasks on the laboratory information management system in compliance with relevant organisational policy.
  • Prepares and scans patient forms onto laboratory scanning system and resolves the scanning incompletes according to set standard operating procedures.
  • Responsible for adhering to company uniform protocols as set standard operating procedures.
  • Liaising with medical aids via email / telephone.
  • QC lab requisition forms.
  • Ad-hoc admin duties
