Responsibilities

  • Oversee administration of Jewellery Division’s sample account.
  • Engage with suppliers for accurate documentation and delivery.
  • Coordinate with internal teams to support stock movement.
  • Load stock onto systems accurately and quickly.
  • Manage movement of samples to maintain accurate records.
  • Administer key sample processes and document accordingly.
  • Lead and manage account stocktakes.
  • Coordinate annual Jewellery Sample Sale.
  • Ensure security and integrity of the sample account.

Job Description

Key Responsibilities:

  • Sample Account Management:
    Oversee the administration of the Jewellery Division’s sample account across multiple distinct streams.
  • Supplier Liaison:
    Engage with both local and international suppliers to ensure accurate upstream documentation and timely delivery into the business.
  • Internal Stakeholder Coordination:
    Collaborate with internal teams including Buying, Marketing, Planning, and Finance to support optimal lead times and accurate stock movement.
  • System Accuracy & Speed:
    Load stock onto internal systems with precision and speed, ensuring correct allocation across streams and accounts.
  • Stock Flow Management:
    Manage the movement of samples between internal departments to maintain accurate stock records.
  • Sample Lifecycle Processes:
    Administer key sample processes including:
    • Return to Vendor
    • Refinery Process
    Ensure accurate documentation and recouping of funds where applicable.
  • Stocktake Oversight:
    Lead and manage bi-annual account stocktakes, as well as any additional stocktakes required by the business.
  • Jewellery Sample Sale:
    Coordinate and execute all administrative and operational activities related to the annual Jewellery Sample Sale.
  • Security & Risk Management:
    Ensure the security and integrity of the high‑value sample account, mitigating risks through diligent oversight and process adherence.

Qualification and Experience:

  • A highly motivated individual with a proven ability to work independently and take initiative.
  • Exceptional attention to detail and accuracy in data handling and documentation.
  • Outstanding interpersonal and communication skills to effectively liaise with suppliers and internal stakeholders.
  • Strong organizational and time management skills, with the ability to manage multiple streams and priorities.
  • Proficiency in relevant systems and tools (e.g. Excel).
