Job summary

MANCOSA, a DHET registered and CHE accredited private higher education distance education provider, invites applications for an IT Asset Management Administrator in Durban. The role centers on owning the IT asset register from purchase to disposal, ensuring accuracy, tagging, custodianship, and secure disposal with proof.

You will maintain the asset register, handle new equipment tagging, handovers, and coordinate with suppliers for replacements, loans and repairs.

Qualifications

• Matric and an IT diploma/degree or equivalent (NQF 6+).
• Itil 4 Foundation certification or willingness to obtain within 12 months.
• 4–6 years in IT operations, asset administration or stock control with asset system experience.
• Experience using asset/service management systems and data literacy.

Responsibilities

• Maintain IT asset register as single source of truth with tagging and custodians.
• Receive, tag, register new equipment and hand over to new starters.
• Manage device replacements, loans, returns, and repairs with suppliers.
• Recover equipment from leavers and sign off IT clearance.
• Run stockroom management and weekly counts, maintenance of records.
• Plan monthly spot-checks and annual asset verification.
• Reconcile asset register with Finance and audits.
• Produce asset reports and keep processes updated.
• Train IT Operations staff on asset processes and systems.

Introduction

MANCOSA, a DHET registered and CHE accredited private higher education distance education provider, offering undergraduate and postgraduate business qualifications, has the following vacancy available:IT Asset Management Administrator - DurbanCORE PURPOSE:MANCOSA is establishing a new post within the IT Security & Infrastructure team to take end-to-end ownership of the organisation's IT asset register, from purchase to disposal.The IT Asset Management Administrator will be the single point of accountability for knowing what IT equipment MANCOSA owns, where it is, who has it and what condition it is in, ensuring the register is accurate, every asset is tagged and allocated to a named custodian, and assets are retired and disposed of securely and with proof.

CORE FUNCTIONS INCLUDE:

• Maintain the IT asset register as the single source of truth, ensuring every asset is tagged, allocated to a named custodian and recorded accurately
• Receive, tag and register new equipment, and hand over devices to new starters with a signed acknowledgement
• Run device replacements, loans, returns and repairs with suppliers, including data wiping before re-use
• Recover equipment from leavers before their last day and sign off IT clearance
• Manage the IT stockroom, stock levels, weekly counts and the replacement waiting list
• Plan and run monthly spot-checks, the annual asset verification and user attestation
• Reconcile the asset register with Finance's fixed asset register and provide evidence for internal and external audits
• Prepare decommissioning and disposal batches, ensuring devices are wiped or drives destroyed with a certificate
• Produce monthly asset reports and KPI packs, and keep asset processes and quick reference guides current
• Train and support IT Operations technicians on asset processes and systems, and be the first point of contact for asset queries

Required Qualifications and Experience:

• National Senior Certificate (Matric) and a completed IT diploma, degree or equivalent qualification (NQF 6 or higher)
• ITIL 4 Foundation certification, or willingness to obtain it within 12 months of appointment
• 4 to 6 years' experience in IT operations, IT asset administration, stock control or a similar role, including at least 2 years working with an asset or inventory system
• Practical experience using an asset or service management system
• Valid driver's licence and willingness to travel between campuses; legally entitled to work in South Africa
• Advantageous: a qualification in supply chain, logistics or asset management; IAITAM (CHAMP/CITAM) or similar IT asset management certification; A or N ; experience of an asset management system implementation or data migration; higher education environment experience
• Sound knowledge of IT hardware types and specifications, and stock control principles
• Basic data protection awareness (POPIA) and safe disposal of IT equipment
• Accuracy and attention to detail, with strong process discipline
• Data literacy, comfortable with large spreadsheets, reconciliation and exception reports
• Good communication skills, able to write clear reports and explain processes to technicians, managers and staff
• Organised and systematic, with a firm but service-minded approach
• High level of integrity and confidentiality when handling equipment and personal information
• Advantageous: Lansweeper, Microsoft Intune, Active Directory, Power BI

Special Conditions:

• Based at the Durban head office and IT stockroom, with regular travel to Samora House and periodic travel to regional campuses
• Standard office hours, with occasional after-hours or weekend work during stock takes, audits and equipment roll‑outs
