- Support the review and cleansing of HR data, resolving missing information and inconsistencies.
- Maintain clear records of holidays, sickness absence and other employee changes.
Recruitment and onboarding
- Coordinate job adverts, interview arrangements and candidate communications.
- Support reference checks, right-to-work checks and relevant pre-employment screening in line with company procedures.
- Arrange inductions and ensure onboarding tasks are completed.
- Work with managers to give new employees a well-organised start.

- Act as a first point of contact for routine HR queries, escalating complex matters to the HR Manager.
- Support absence management, probation reviews and performance processes.
- Arrange employee relations meetings, prepare documentation and take accurate notes.
- Track agreed actions and maintain confidential case records.
- Help managers follow company policies and agreed HR procedures consistently.
Payroll coordination and reporting
- Provide accurate, approved employee changes to payroll within agreed deadlines.
- Reconcile HR records with payroll information and investigate discrepancies.
- Prepare regular reports covering headcount, absence, turnover, probation and outstanding documentation.
- Monitor deadlines and follow up with managers on overdue actions.
Culture and process improvement
- Support employee engagement activities, wellbeing initiatives and office events.
- Coordinate training records and reminders for mandatory learning.
- Help improve HR workflows, templates and administrative processes.
- Handle employee information securely and confidentially.
Essential experience and skills
- Previous experience in an HR Coordinator, HR Administrator or similar role supporting a UK workforce.
- Practical understanding of UK employment practices and the employee lifecycle, including onboarding, absence, probation and leavers.
- Experience preparing HR documentation and maintaining confidential employee records.
- Experience using an HR system, ideally BambooHR.
- Strong organisation, attention to detail and written communication skills.
- Confidence working with managers and employees across different teams.
- Good Excel skills and the ability to produce accurate HR reports.
- Ability to prioritise independently and recognise when an issue needs escalation.
- CIPD Level 3 qualification, or working towards it.
- Experience within healthcare, social care, recruitment or a multi-company group.
- Experience supporting a UK workforce from an overseas shared service team.
- Experience with HR data cleansing and process improvement.
