Job summary

Signa Opportunity is seeking an HR Administrator to provide comprehensive administrative and operational support to the HR Officer/Manager across the full employee lifecycle within the group of companies. Responsibilities include recruitment, onboarding, offboarding, employee records, payroll liaison, and compliance administration.

You will assist with interview coordination, documentation, payroll liaison, EE tracking, and HRIS data updates, while maintaining confidentiality and ensuring

  • Basic working knowledge of HRIS and payroll systems.

Responsibilities

  • Recruitment and Selection Support: Assist with drafting and posting job advertisements, screen CVs, schedule interviews, assist with reference checks, prepare interview packs, help draft offers and contracts, update recruitment tracker, support EE considerations.
  • Onboarding Support: Coordinate inductions, prepare onboarding packs, collect pre-employment documentation, capture new employee details, liaise with IT/facilities, track probation review dates.
  • Offboarding Support: Administer resignation/termination, schedule exit interviews, coordinate payroll for final payments, return company property, deactivate access, prepare exit documents.
  • Employee Records and Administrative Support: Maintain confidential records, capture changes in systems, provide clerical support, manage leave processing, maintain headcount, draft routine HR letters.
  • Payroll Liaison Support: Submit information to payroll, verify timesheets, resolve routine payroll queries, assist with employee benefits.
  • Employee Relations Support: First point of contact for routine queries, assist with disciplinary processes, facilitate communication, distribute policies, coordinate engagement activities.
  • Labour Relations and Compliance Support: Ensure compliance with Labour legislation, prepare CCMA/Bargaining Council docs, help with hearings, flag compliance risks, support audits.
  • Employment Equity (EE) Support: Collect and maintain EE data, assist with EE reports, coordinate EE Committee meetings, track progress against EE Plan, distribute EE communications.
  • Skills Development and Training Support: Coordinate workshops, maintain training records, support WSP/ATR submissions, liaise with training providers.
  • Reporting and General HR Administration: Compile HR reports, update dashboards, keep archives, assist audits, update policies.
  • Minimum Requirements: South African Unemployed youth 18-34, Matric, HR qualification preferred/essential.

About the role

The HR Administrator provides administrative and operational support to the HR Officer/HR Manager across the full employee lifecycle within the group of companies — including recruitment, onboarding, offboarding, employee records, payroll liaison, and compliance-related administration.

Responsibilities
Recruitment and Selection Support
  • Assist with drafting and posting job advertisements as directed by the HR Officer/Manager.
  • Screen CVs/applications against job requirements and shortlist for review.
  • Schedule and coordinate interviews between candidates and hiring managers.
  • Assist with conducting reference checks and qualification verifications.
  • Prepare interview packs, assessment materials, and scorecards.
  • Help draft offers of employment, employment contracts, and related documentation for approval.
  • Update and maintain the recruitment tracker/applicant database.
  • Support the HR Officer/Manager in applying employment equity considerations during shortlisting.
Onboarding Support
  • Assist in coordinating new employee induction and orientation programmes.
  • Prepare onboarding packs (contracts, policies, forms, equipment requests).
  • Collect and check pre-employment documentation (ID copies, qualifications, banking details, tax forms, medical certificates where applicable).
  • Capture new employee details on HR/payroll systems and open personnel files.
  • Liaise with IT, facilities, and line managers to arrange workstations, access, and equipment.
  • Assist with tracking probation review dates and scheduling check-ins.
Offboarding Support
  • Assist with administering the resignation/termination process, including preparing exit documentation and tracking notice periods.
  • Help schedule exit interviews and capture feedback for the HR Officer/Manager.
  • Liaise with payroll to support timely processing of final payments, leave payouts, and UIF/relevant documentation.
  • Coordinate the return of company property (laptops, access cards, uniforms, etc.).
  • Action deactivation of system access and update records to reflect employment termination.
  • Prepare Certificates of Service and other statutory exit documents for sign-off.
  • Maintain accurate offboarding records for audit and compliance purposes.
Employee Records and Administrative Support
  • Maintain accurate, confidential, and up-to-date employee records (digital and physical) in line with POPIA/data protection requirements.
  • Capture employee changes (promotions, transfers, salary changes, terminations) on relevant systems as instructed.
  • Provide general clerical and administrative support to the HR Officer/HR Manager.
  • Administer day-to-day leave processing, including leave balances, applications, and approvals.
  • Help maintain organisational structure/headcount records.
  • Draft routine HR letters (confirmation of employment, salary increases, etc.) for review and sign-off.
Payroll Liaison Support
  • Liaise closely with the Payroll department to submit information on new starters,terminations, and variable pay under the direction of the HR Officer/Manager.
  • Verify timesheets, overtime, and leave records prior to payroll submission.
  • Assist in resolving routine payroll queries relating to hours, deductions, and benefits, escalating complex matters as needed.
  • Support the administration of employee benefits (medical aid, provident/pension fund, group life, etc.).
Employee Relations Support
  • Act as a first point of contact for routine employee queries regarding policies, benefits, and general HR matters, referring more complex issues to the HR Officer/Manager.
  • Assist with the administrative side of disciplinary and grievance procedures — scheduling hearings, taking minutes, and maintaining case records.
  • Help facilitate communication between employees and the HR Officer/Manager in resolving workplace matters.
  • Support the distribution and communication of company policies and procedures among employees.
  • Assist with the coordination of employee engagement initiatives as directed.
Labour Relations and Compliance Support
  • Support the HR Officer/Manager in ensuring HR administration complies with applicable labour legislation (e.g. Labour Relations Act, Basic Conditions of Employment Act, Employment Equity Act, Skills Development Act, OHS Act, and relevant Bargaining Council/Sectoral Determinations).
  • Assist in preparing documentation for CCMA/Bargaining Council referrals under guidance.
  • Help prepare documentation for disciplinary hearings, incapacity processes, and retrenchment procedures.
  • Flag any observed compliance risks or legislative changes to the HR Officer/Manager.
  • Maintain accurate records to support audits (internal and external, including Department of Labour inspections).
Employment Equity (EE) Support
  • Assist with the collection, capturing, and maintenance of Employment Equity data.
  • Support the HR Officer/Manager in preparing EE reports (EEA2, EEA4) and submissions to the Department of Employment and Labour.
  • Help coordinate Employment Equity Committee meetings, including scheduling, minute-taking, and follow-up on action items.
  • Assist in tracking progress against the Employment Equity Plan and numerical targets under guidance.
  • Help distribute communication relating to employment equity and diversity, equity, and inclusion initiatives.
Skills Development and Training Support
  • Coordinate the logistics of workshops, training sessions, and internal HR initiatives (venue booking, scheduling, attendance registers, materials).
  • Maintain training records and assist in tracking skills development plans.
  • Support the preparation of Workplace Skills Plan (WSP) and Annual Training Report (ATR) submissions where applicable.
  • Liaise with external training providers and SETAs as directed.
Reporting and General HR Administration
  • Compile HR reports (headcount, turnover, absenteeism, recruitment metrics, EE statistics, leave trends) for review by the HR Officer/Manager.
  • Update and maintain HR dashboards/trackers for management reporting.
  • Keep filing systems (digital and physical) organised, accurate, and audit-ready.
  • Assist with internal and external audits by providing requested documentation.
  • Support the review and updating of HR policies and procedures as directed.
Minimum Requirements
  • South African Unemployed youth between the ages of 18 and 34.
  • Must not have participated on the YES programme before.
  • Matric.
  • A relevant HR qualification (Diploma or Degree in Human Resources Management, Industrial Psychology, or related field) — preferred/essential (specify per company requirement).
