Job summary

Qualifications

  • Strong MS Office skills (Excel, PowerPoint) and Canva knowledge.
  • Working knowledge of ERPs like SAP is advantageous.
  • Excellent spoken and written English.
  • Good team player and comfortable with diversity.

Responsibilities

  • Manage all internal activities for the Gallery team.
  • Lead smelling sessions of collections from different centers.
  • Schedule meetings, take notes, prepare minutes, and follow up on tasks.
  • Support administrative tasks in internal systems.
  • Prepare olfactive presentations for projects or slides.
  • Raise purchase orders for team functions.
  • Coordinate sending of market products and fragrance collections between centers.
  • Analyze data in Excel from internal systems and support Gallery Manager.

In this exciting role, with a 'can-do’ mindset, you will -

Administration
  • Managing all internal activities for the Gallery team.
  • Leading smelling sessions of collections received from different centers.
  • Helping to schedule meetings, take notes during meetings, prepare minutes for internal circulation, and follow up with the team members to complete the assigned tasks.
  • Supporting the team on administrative tasks on internal systems.
  • Preparing olfactive presentations for projects or other similar slides.
  • Raising PO’s for all team functions as required.
  • Coordinating on sending of market products and fragrance collections between different fragrance development centres internationally.
  • Preparing data analysis on Excel from internal Givaudan systems and supporting Gallery Manager as needed.
Team Coordination
  • Supporting Gallery team on building and executing libraries/portfolios
  • Supporting and facilitating external visits when needed.
Lab Coordination
  • Streamlining the communication and work methodology between Gallery development and lab teams.
  • Raising requests for fragrance application samples in the internal Givaudan systems.
  • Helping to coordinate with the lab production and shipment of samples for projects as well as collection kits.
Your professional profile includes
  • Bachelors or University degree.
  • 2+ years of relevant work experience in an administrative or business support role(s) in international and multi-cultural work environments, preferably in the fragrance, perfume, ingredient, chemicals, luxury or FMCG sectors.
  • Excellent project management skills.
  • Very good use of MS Office (Excel, Powerpoint) and knowledge of new tools like Canva.
  • Working knowledge of ERPs like SAP is advantageous.
  • Excellent oral and written proficiency in the English language.
  • A good team player and comfortable with diversity.
