Job summary

On Line Personnel in Port Elizabeth is seeking a Financial Administrator / Analyst to manage debtors, billing and inventory reconciliations while analyzing Trial Balance data and supporting cost modelling.

You will work with the Financial Manager on monthly management accounts, cash book management, and KPI reporting; strong Excel and Google Workspace skills are essential, with immediate availability preferred.

Qualifications

• Minimum of Matric
• Tertiary qualification in Accounting, Finance or related field is highly advantageous
• Minimum of 2 to 3 years Pastel Accounting or Sage Evolution experience
• Advanced proficiency in MS Office (Excel) and Google Workspace
• Exceptional attention to detail, structured organisational discipline, analytical thinking and proactive problem-solving mindset
• Available to commence immediately or on short notice is highly preferable
• Good communication skills (written and verbal)

Responsibilities

• Debtors, Billing and Sales Order Management: verify customer account statuses, balances, and credit limits; process orders for up-to-date or settled accounts
• Capture daily orders across portals into Pastel/Sage; ensure invoicing and dispatch by warehouse
• Resolve billing, payment, and account queries; process credit notes and maintain audit logs
• Financial Analysis, Reporting and Controller Grooming: review Trial Balance data; generate costing spreadsheets for efficiencies
• Assist with monthly management accounts, cash book management, variations analysis, and budgeting
• Record sales targets vs actual on shared platforms; manage commission schedules and fuel card allocations
• Cash Control and Reconciliations: perform reconciliations across payment channels; track overdue accounts and assist with debt collection
• Inventory, Warehouse and Operational Sync: conduct stock counts; coordinate with warehouse on variances and logs
• Act as bridge between sales and warehouse; communicate ETAs and out-of-stock notices; assist with stock movements
• Maintain team-oriented attitude; assist with picking/packing when volumes require
