Responsibilities

• Receive proposals and orders from Customer Planners and coordinate with warehouses to confirm stock and requirements.
• Plan and allocate orders across transport loads to neighboring countries.
• Verify tariff codes, purpose codes, BV inspection requirements and complete SADC documentation.
• Prepare export documentation for each truck load, including SAP transfers and invoices.
• Maintain loading schedules, monitor bookings, and update transport teams daily.
• Compile SADC certificates, road manifests, gate passes, and other supporting docs.
• Ensure timely submission of ZE/ELG documentation and resolve compliance issues.

Join a dynamic team dedicated to streamlining export operations and ensuring seamless logistics for a leading logistics provider. This is an excellent opportunity for a professional with a passion for export processes, compliance, and stakeholder collaboration.

What You'll Do:

• Receive proposals and orders from Customer Planners in Poland, coordinating with warehouses and planners to confirm stock availability and order requirements.
• Obtain shipment weights, dimensions, and pallet quantities from warehouses.
• Plan and allocate orders across transport loads to various neighboring countries including Zimbabwe, Zambia, Mozambique, Namibia, and Botswana.
• Verify and confirm tariff codes, purpose codes, shipment details, BV inspection requirements, and complete SADC documentation.
• Prepare export documentation for each truck load, including SAP transfers, freight costs, and invoices.
• Save and distribute invoices and loading instructions in PDF format to relevant teams.
• Complete SADC documentation and undertake the Contra Marca process for Mozambique.
• Review draft customs documentation, incorporate final approvals, and print necessary documentation.
• Compile supporting documentation such as SADC certificates, road manifests, and gate passes.
• Maintain and update loading schedules, monitor bookings, verify stock, and confirm scheduled products.
• Liaise with Transport Controllers on truck allocations and send daily loading-plan updates.
• Record shipments, costs, and operational data on tracking reports.
• Monitor container availability, loading progress, documentation status, truck movements, and operational delays.
• Ensure timely submission of ZE and ELG documentation and resolve any compliance issues.

Requirements:

• Minimum of 2 years’ experience in export or logistics coordination.
• Strong stakeholder management skills.
• Excellent organizational and planning abilities.
• Proficiency in preparing and verifying export documentation.
• Ability to manage multiple tasks within tight deadlines.

Familiarity with the following:

• SADC documentation and customs procedures.
• SAP or similar ERP systems.
• Export compliance and freight forwarding regulations.
