The Workplace Operations Manager is responsible for ensuring the smooth and efficient day-to-day operations of the office environment. This role oversees administrative functions, facilities management, vendor coordination, and employee support services. The Office Manager serves as a central point of contact for office-related needs, working cross-functionally to maintain a productive, organized, and welcoming workplace. This individual will collaborate with leadership, property management, and external partners to uphold operational standards and support company growth.
Key Responsibilities
Office Operations & Administration
- Oversee daily office operations, ensuring a clean, organized, and fully functional work environment.
- Develop and implement office policies, procedures, and systems to improve operational efficiency.
- Manage office supplies, equipment inventory, and procurement processes.
- Coordinate office moves, space planning, and workspace configuration as needed.
Facilities & Building Management
- Serve as primary liaison with property management, building engineers, and maintenance teams.
- Oversee building access, security protocols, key management, and door hardware systems.
- Coordinate with MEP firms and contractors for building maintenance, repairs, and improvements.
- Ensure compliance with building rules, regulations, safety codes, and COI requirements.
- Source, evaluate, and manage relationships with office service vendors (cleaning, catering, IT, security, etc.).
- Negotiate contracts, service agreements, and pricing to ensure cost-effectiveness and quality.
- Monitor vendor performance, ensure SLA compliance, and resolve service issues promptly.
- Maintain a current directory of required and preferred vendors with contact information.
Budget & Financial Oversight
- Develop and manage the office operations budget, tracking expenses and identifying cost-saving opportunities.
- Process invoices, purchase orders, and expense reports related to office operations.Prepare monthly and quarterly budget reports for leadership review.
Employee Experience & Support
- Act as the first point of contact for employee office-related requests, questions, and concerns.
- Coordinate onboarding logistics for new hires including workspace setup, access badges, and equipment.
- Plan and organize office events, team-building activities, and company gatherings.
- Support health and safety initiatives, emergency preparedness, and workplace wellness programs.
Communication & Coordination
- Maintain effective communication channels between departments regarding office operations and updates.
- Prepare and distribute internal communications, memos, and office announcements.
- Coordinate with executive leadership on administrative priorities and special projects.
Required Skills & Qualifications
Technical & Professional Skills
- Proficiency with office management software and tools (e.g., Microsoft Office Suite, Google Workspace, project management platforms).
- Experience with facilities management systems, building access controls, and space planning tools.
- Strong organizational skills with meticulous attention to detail and ability to multitask.
- Budget management experience including expense tracking, forecasting, and vendor negotiations.
- Excellent written and verbal communication skills.
Leadership & Interpersonal Skills
- Proven ability to manage multiple priorities in a fast-paced, dynamic environment.
- Strong interpersonal skills with the ability to build relationships at all levels of the organization.
- Self-starter with excellent problem-solving abilities and a proactive, solutions-oriented mindset.
- Experience supervising administrative staff or office support teams.
Industry Experience
- 3–5 years of progressive experience in office management, facilities coordination, or administrative operations, preferably within commercial real estate, property management, corporate services, or professional services environments.
- Familiarity with building codes, safety regulations, and workplace compliance standards.
Additional Requirements
- Ability to be on-site during core business hours with flexibility for occasional early morning, evening, or weekend needs.
- Ability to lift up to 40 lbs and perform light physical tasks related to office setup and maintenance.

- Valid driver's license and ability to travel locally between office sites as needed.
Education & Certifications
- Bachelor's Degree in Business Administration, Facilities Management, Communications, or a related field is required.
- Associate's Degree with equivalent professional experience will be considered.
