Job summary

Jobtailor is seeking a highly organized Recruitment Operations professional to analyze workflows, implement scalable processes, and drive improvements across HR systems. You will partner with HR, IT, and recruiters to optimize ATS and related tools.

The ideal candidate has 2+ years in recruitment operations or HR project management, a strong analytics mindset, and excellent stakeholder skills. Healthcare recruiting experience is a plus and PMP/Lean training is a bonus.

Qualifications

  • Bachelor’s degree required or 5 years of relevant experience in lieu of degree.
  • 2+ years in recruitment operations, HR project management, or process improvement.
  • Advanced MS Office skills (PowerPoint, Word, Visio) and strong Excel pivot table and VLOOKUP ability.

Responsibilities

  • Analyze current workforce and recruitment workflows to identify efficiency gains.
  • Develop and document scalable processes to improve user experience and effectiveness.
  • Partner with HRIS/IT to optimize ATS, core HR, onboarding and related systems.
  • Manage and report on recruitment/workforce projects, including system implementations and automation.
  • Provide training and documentation to ensure policy and system alignment.

Job description

  • Analyze current workforce and recruitment workflows and tools and identify areas for improvement to increase efficiency and effectiveness.
  • Develop, document, and implement scalable processes to enhance user experience and effectiveness.
  • Ensure compliance with policies, legal and regulatory requirements, and industry best practices.
  • Work cross-functionally with HR, IT, and other departments to improve systems and tools.
  • Manage and report out on recruitment and workforce-related projects, such as system implementations, process automation, and reporting enhancements.
  • Drive continuous improvement initiatives by leveraging data insights and stakeholder feedback.
  • Support monitoring workforce metrics and KPIs to identify trends, gaps, and opportunities for improvement.
  • Partner with HRIS and IT teams to optimize the use of applicant tracking systems (ATS), core HR, onboarding and other systems.
  • Support system migrations, integrations, and user training.
  • Serve as a key resource for recruiters, hiring managers, and HR teams in process implementation and troubleshooting.
  • Provide training and documentation to ensure alignment with updated policies and systems.
Requirements
  • Bachelor’s degree in Business Administration, Economics or similar field (an additional 5 years of experience may be considered in lieu of a degree)
  • 2+ years of experience in recruitment operations, HR project management, or process improvement
  • Advanced knowledge of Microsoft products such as PowerPoint, Word, and Visio
  • Intermediate proficiency in Excel, including building and analyzing pivot tables and using VLOOKUP functions for data management and reporting
  • Ability to manage multiple projects simultaneously in a fast-paced environment
  • Strong understanding of workforce technology, which can include applicant tracking systems (ATS), HR Technology, or labor/productivity systems
  • Excellent organizational, communication, and stakeholder management skills.
  • Experience in healthcare recruiting or workforce management environments is preferred.
  • Familiarity with ATS, CRM, workforce planning, or HR systems is preferred.
  • Experience supporting large‑scale change initiatives or system rollouts is preferred.
  • Knowledge of recruiting metrics, workforce analytics, and reporting is preferred.
  • Comfortable leading virtual live training sessions, developing clear user guides, and providing end‑user support during new process or system launches is preferred.
  • Project management certification or formal training (e.g., PMP, Agile, Lean, Six Sigma) is a plus.
