The Workers' Compensation Coordinator is responsible for the administration, coordination, and monitoring of the Company's workers' compensation program. This position manages claims from the initial injury report through resolution and return to work, ensuring claims are handled timely and accurately and in accordance with applicable federal, state, and local requirements.


This role serves as a key resource for employees, leaders, Human Resources, Payroll, third-party administrators, insurance carriers, and medical providers. The position also coordinates modified-duty assignments, supports the return-to-work process, and provides guidance and training to leaders regarding workers' compensation policies and procedures.


Essential Functions

Workers' Compensation Administration


  • Coordinates and monitors workers' compensation claims from the initial report of injury through claim resolution and return to work.

  • Reviews injury reports and ensures required documentation is completed and submitted timely.

  • Maintains accurate and confidential workers' compensation records.

  • Monitors claim status, medical treatment, work restrictions, lost time, benefits, and other claim activity.

  • Communicates with third-party administrators, insurance carriers, claims adjusters, medical providers, and other external partners to resolve claim-related issues.

  • Applies applicable workers' compensation laws, regulations, Company policies, and procedures.

  • Keeps current on state-specific workers' compensation requirements and changes that may impact the Company.


Employee and Leader Support


  • Serves as a resource for employees regarding workers' compensation policies, procedures, benefits, and claim status.

  • Communicates with injured employees throughout the claims and return-to-work process.

  • Provides leaders with information and guidance needed to manage employees with workplace injuries or work restrictions.

  • Conducts training for managers and supervisors regarding workers' compensation reporting, policies, procedures, and return-to-work practices.

  • Partners with Human Resources and other departments when workers' compensation claims intersect with leave, accommodations, or other employee programs.


Return-to-Work and Modified Duty


  • Coordinates the Company's return-to-work process for employees recovering from workplace injuries.

  • Reviews work restrictions and assists in identifying appropriate modified or transitional-duty assignments.

  • Partners with leaders to ensure assignments are consistent with documented medical restrictions.

  • Monitors modified-duty assignments and follows up on changes to employee restrictions or medical status.

  • Coordinates updates related to medical releases and anticipated return-to-work dates.


Other Responsibilities


  • Identifies opportunities to improve workers' compensation processes and reduce claim-related costs and risk.

  • Participates in meetings with vendors, insurance partners, and internal stakeholders.

  • Maintains confidentiality of employee medical, payroll, and claim information.

  • Performs other duties and special projects as assigned.


Knowledge, Skills, And Abilities


  • Knowledge of workers' compensation laws, regulations, and claims administration practices.

  • Knowledge of Human Resources policies and procedures, particularly related to leave, benefits, payroll, and return-to-work programs.

  • Ability to understand and apply state-specific workers' compensation requirements, including requirements in monopolistic states such as Ohio and Washington.

  • Strong communication and interpersonal skills.

  • Ability to communicate benefits, policies, and procedures clearly to employees and leaders.

  • Strong organizational skills and attention to detail.

  • Ability to manage multiple claims, deadlines, and priorities.

  • Strong problem-solving and analytical skills.

  • Ability to maintain confidential and sensitive information.

  • Ability to establish and maintain effective working relationships with employees, leaders, vendors, and external partners.

  • Proficiency with Microsoft Office and HRIS or claims management systems preferred.


Experience


  • 4 years of Human Resources experience.

  • 2 years of experience in workers' compensation, leave administration, benefits, insurance, or claims management required.

  • Experience working with third-party administrators, insurance carriers, or claims adjusters preferred.

  • Multi-state workers' compensation experience preferred.


Education


  • High School Diploma or GED required.

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.


Licenses & Certifications


  • Valid Texas Driver's License required, as applicable to business needs.

  • Texas Workers' Compensation Adjuster's License preferred.

  • Workers' compensation, HR, or related professional certification preferred.


Working Conditions


  • Primarily office-based with regular computer, telephone, and electronic communication.

  • May require occasional travel to Company locations or meetings.

  • Regular interaction with employees, leaders, vendors, medical providers, insurance representatives, and other external partners.

  • Requires the ability to handle confidential and sensitive employee information professionally.
