Job summary

Wilson Artisan Wineries is seeking a Wine Club Coordinator to oversee customer service and fulfillment of wine club subscriptions, assist with direct sales, and promote wine club sign-ups. The role involves tasting room duties, greetings, and ensuring guests have an engaging winery experience.

Qualifications

  • High School diploma or GED required.
  • Associate’s or Bachelor’s degree preferred.
  • One or more years of successful work experience in the same or similar role in the wine industry.
  • Must be 21 years of age or older.
  • Fully proficient in English; multilingual preferred.
  • Must have a valid, class C driver’s license and reliable transportation.
  • Ability to work a Tuesday-Saturday schedule and events as needed.

Responsibilities

  • Plan and coordinate fulfillment of wine club shipments.
  • Create content for wine club newsletters, emails and invitations.
  • Process wine club shipments and assist members with special requests.
  • Ensure club wines are staged for will-call and shipping.
  • Handle inbound orders via phone, text, and email and respond to inquiries promptly.
  • Resolve shipping issues and maintain accurate member lists.
  • Maintain wine club database and ensure data accuracy.
  • Provide high-touch service to wine club members and educate guests about wines and brand history.
  • Assist in tasting room operations and greet guests to build brand loyalty.
  • Transact sales using POS systems and manage inventory.
  • Promote wine club memberships and cross-sell wine products.

Job description

We are seeking an enthusiastic and customer focused Wine Club Coordinator to join our team! The Wine Club Coordinator will oversee the customer service and fulfillment of wine club subscriptions, assist with inbound direct sales and communicating with customers to promote wine sales and wine club sign-ups. The Wine Club Coordinator will also perform duties in the tasting room and other duties and responsibilities as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Plan and coordinate fulfillment of wine club shipments.
  • Create content for wine club newsletters, notification emails, invitations, etc.
  • Process wine club shipments, working with members who have special requests.
  • Ensure appropriate club wines are staged for both will-call and shipping.
  • Process inbound customer phone, text, and email orders along with responding to customer inquiries in a timely manner.
  • Follow up on and resolve wine club member shipping issues (missing wine, delivery problems, returned shipments, etc.).
  • Maintain wine club database, ensuring all customer information is accurate and up to date.
  • Review and correct order exceptions report for all wine club runs on a continual basis to maintain a clean and accurate member list.
  • Provide high-touch treatment for wine club members through outstanding customer service.
  • Prepare reports and keep staff informed of the incentive program and sign-ups.
  • Assist in the tasting room and ensure that all guests are greeted immediately upon entry to the tasting rooms and provided with experiences that build brand loyalty.
  • ID guests to ensure each is of legal age to consume alcohol.
  • Communicate in a knowledgeable, professional, and gracious manner to all guests who visit the winery.
  • Accurately use POS registers and other winery systems to transact sales and maintain tasting room inventory.
  • Share appropriate information and educate guests about wines, brand history, sister wineries, and lodging.
  • Promote the sale of wine products in the tasting rooms, pursue sales opportunities, and encourage customers to purchase wines and join the wine club.
  • Serve samples of wine for guests in both individual and group settings.
  • Foster teamwork by working and communicating with others in a collaborative and respectful way.
  • Perform opening and closing procedures, including, but not limited to, set-up and breakdown of tables, chairs, and all items related to tasting room operations.
  • Perform other duties as assigned.
MINIMUM QUALIFICATIONS
  • First-hand knowledge, appreciation, and passion for wine and wine-related topics.
  • Must be 21 years of age or older.
  • Excellent verbal and written communication skills with the ability to speak clearly and confidently with guests.
  • Excellent customer service skills with the ability to present products, up-sell, cross-sell, and proactively ask for and close sales.
  • Present a professional appearance.
  • Acute attention to detail with a high degree of accuracy.
  • Highly organized with the ability to handle multiple projects; excellent follow-up and follow through.
  • Strong interpersonal skills – able to maintain excellent working relationships with co-workers, customers, vendors, and shippers.
  • Must have a valid, class C driver’s license, a reliable, insured method of transportation, and an acceptable driving record.
  • Self-motivated, with a high level of accountability and productivity.
  • Able to work a regular Tuesday-Saturday schedule.
  • Able to work events and occasional holidays, and extended hours when needed.
  • Able to work independently as well as part of a team, problem solve, troubleshoot and have the ability to visualize the whole picture of event and marketing planning.
  • Must hold and maintain a current Responsible Beverage Server certification or ability to obtain within 60 days of employment.
EDUCATION AND EXPERIENCE
  • High School diploma or GED required. Associate’s or Bachelor’s degree preferred.
  • One or more years of successful work experience in the same or similar role in the wine industry.
LANGUAGE SKILLS
  • Fully proficient in the English language in both oral and written formats required; multi-lingual preferred.
MATHEMATICAL SKILLS
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Able to identify and resolve discrepancies.
COMPUTER SKILLS
  • Intermediate to advanced level of proficiency in the use of Microsoft Office Suite, Commerce7, Red Chirp, and Internet applications.
WORK ENVIRONMENT

While performing the duties of this job, the employee is regularly working in a combination of environments, including an office, tasting room, outdoor areas, and wine storage room. The noise level is usually low. Events may have a higher level of noise at times. Travel to other Company locations and to off-site events may be required.

Must be able to sit, stand, move, and walk for prolonged periods of time, accurately operate POS systems, standard office and tasting room equipment, perform various housekeeping duties, read, write, type, text, smell, taste, see, listen/hear, and speak. The employee must be able to lift, move, carry, push, pull, and stack 50 pounds on a repetitive basis, set up/break down tables, chairs, and umbrellas. The employee is occasionally required to stoop, kneel and crouch, climb stairs, and stand on a step stool.
