Who You Are

The Windows Display Project Manager is responsible for the planning, coordination, and execution of window display projects across the brand’s North American doors. In partnership with the Director of Windows, this role manages projects from initial planning through production, shipping, installation, completion, and breakdown across Monobrand, Wholesale, and BPS locations.

The Windows Display Project Manager serves as a key project lead between the North American team, domestic and international offices, vendors, manufacturers, and cross-functional partners to ensure projects are delivered on time, within budget, and in accordance with established brand and visual standards.

The ideal candidate is highly organized, detail-oriented, analytical, and solutions-oriented, with strong project management skills and the ability to manage multiple projects, vendors, timelines, and large amounts of data simultaneously.

What You’ll Do
Window Display Project Management
  • Plan, organize, and manage all window display activations from initial planning through production, shipment, installation, completion, and breakdown.
  • Develop and maintain detailed project timelines, schedules, budgets, production plans, and project trackers.
  • Coordinate multiple projects simultaneously across Monobrand, Wholesale, and BPS locations, effectively prioritizing competing deadlines and resources.
  • Partner with the Director of Windows and international teams to establish project priorities, scope, timelines, and execution plans.
  • Interpret drawings, specifications, revisions, and project requirements and translate them into actionable production and installation plans.
  • Monitor project progress and proactively identify and resolve delays, logistical challenges, and changes to project requirements.
  • Ensure projects are completed on schedule, within approved budgets, and in accordance with established visual standards.
  • Maintain comprehensive project documentation, including timelines, bids, budgets, purchase orders, vendor information, shipping details, installation schedules, and project status.
  • Ensure departmental deadlines and photo submission guidelines are consistently met.
Vendor, Production & Logistics Management
  • Manage relationships with manufacturers, fabricators, installers, contractors, and other external vendors.
  • Solicit, collect, and evaluate vendor bids and coordinate vendor selection in partnership with the Director of Windows.
  • Oversee production schedules and vendor deliverables to ensure quality, specifications, costs, and timelines are maintained.
  • Coordinate domestic and international shipments, installations, breakdowns, returns, and other project logistics.
  • Track vendor performance, project costs, purchase orders, invoices, and deliverables.
  • Proactively communicate potential budget, timeline, or production issues and coordinate solutions with relevant stakeholders.
  • Coordinate the recycling, retention, storage, and redistribution of window props and materials.
  • Manage props storage, ordering, inventory, shipment tracking, and redistribution across locations.
Data Management & Reporting
  • Maintain and manage detailed databases and project trackers covering windows, vendors, budgets, production timelines, shipments, installations, inventory, and project deliverables across North America.
  • Manage large amounts of project and operational data, ensuring information is accurate, organized, and consistently maintained.
  • Develop and maintain sophisticated Excel trackers and reporting tools to monitor project status, budgets, timelines, vendor performance, inventory, and key deliverables.
  • Analyze project data to identify variances, risks, trends, and opportunities for improved efficiency and cost management.
  • Track and reconcile project budgets, vendor bids, purchase orders, invoices, shipping costs, and other project-related expenses.
  • Prepare regular project status reports and data-driven updates for the Director of Windows and relevant stakeholders.
  • Establish standardized reporting and data-management processes across projects and locations.
  • Ensure data integrity across project documentation and proactively identify and resolve discrepancies.
Cross-Functional & Special Projects
  • Partner with PR, Marketing, Retail, Wholesale, and other internal teams to plan and execute off-site events and special projects.
  • Coordinate showroom setups for Men’s and Women’s seasonal collections, Press Days, and ad hoc projects.
  • Plan and execute 4–6 capsule and “World of” presentations throughout Outpost activations, including Neiman Marcus, Saks, and specialty locations.
  • Coordinate office presentation updates for the NY, LA, and Toronto offices, including plants, floral, imagery, and prop refreshes.
  • Collaborate with domestic and international offices to ensure consistent execution and adherence to established visual standards across geographic markets.
  • Support additional departmental projects and initiatives as assigned.
Qualifications
  • Bachelor’s degree preferred.
  • 6–8 years of experience in project management, window display, visual merchandising, or a related operational field, preferably within luxury retail, wholesale, apparel, or a similarly high-touch environment.
  • Proven experience managing complex, multi-location projects from planning through execution, including timelines, budgets, vendors, production, logistics, and installation.
  • Advanced proficiency in Microsoft Excel, with demonstrated ability to manage, organize, analyze, and report on large amounts of data.
  • Strong experience creating and maintaining complex Excel trackers, reporting tools, budgets, project schedules, and databases.
  • Proficiency with Excel functions including PivotTables, VLOOKUP/XLOOKUP, formulas, filtering, sorting, and data reconciliation.
  • Highly analytical and detail-oriented, with the ability to translate large amounts of information into clear, actionable insights.
  • Exceptional organizational and project management skills with the ability to effectively prioritize multiple projects and deadlines.
  • Strong communication and interpersonal skills, with the ability to collaborate across departments, levels of seniority, and geographic markets.
  • Strong vendor management and negotiation skills.
  • Ability to interpret drawings, revisions, specifications, and project requirements.
  • Strong computer skills, specifically Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).
  • Ability to lift 50+ lbs. on a regular and repeated basis without assistance.
  • Ability to travel domestically and internationally as required.
