Job summary

Joseph P. Addabbo Family Health Center, Inc. seeks a WIC Supervisor to oversee clerical staff and the Outreach Coordinator, ensuring compliant, participant-centered WIC services across multiple sites.

You will coordinate training, monitor performance, manage daily workflows, and collaborate with WIC leadership on nutrition, breastfeeding, and outreach activities, while promoting teamwork and quality improvement. Strong knowledge of WIC policies and audits is essential.

Qualifications

• Maintains a strong understanding of WIC’s mission, program goals, eligibility requirements, benefits, policies, and procedures, and ensures compliance with applicable USDA, NYSDOH, HIPAA, JPA FHC confidentiality, and participant safety requirements.
• Maintains required professional knowledge by completing assigned conferences, seminars, in-service education, mandatory trainings, and continuing education requirements.

Responsibilities

• Assists the WIC Director with planning, implementing, evaluating, and improving WIC services to ensure compliance with NYSDOH WIC requirements and effective program operations.
• Provides direct supervision, coaching, performance feedback, and evaluation of clerical staff and the Outreach Coordinator, establishing expectations related to customer service, productivity, accuracy, confidentiality, professionalism, and program performance.
• Coordinates daily workflow, staffing, scheduling, workload distribution, and clerical operations across WIC sites to support efficient and equitable participant services.
• Collaborates with the WIC Director and WIC Nutrition and Breastfeeding Coordinator to coordinate clerical, nutrition, breastfeeding, and outreach activities and address operational and staffing needs.
• Oversees participant communication and outreach processes, including use of the shared mailbox, Teletask, Eligibility Ease, and other tracking systems, and monitors outreach goals, follow-up activities, and outcomes.
• Promotes a positive, respectful, collaborative, and team-oriented work environment.
• Assists with coordination and tracking of WIC staff training, competencies, certifications, and required NYSDOH and JPA FHC education.
• Supports program communication and organization by maintaining WIC SharePoint resources, disseminating program and quality improvement updates, and assisting with staff meetings, agendas, documentation, action items, and follow-up.
• Represents the WIC program at internal and external meetings and supports program-wide initiatives and events, including the Farmers Market Nutrition Program and WIC-sponsored activities.
• Oversees departmental purchasing and inventory activities in collaboration with WIC leadership and staff, ensuring adequate supplies, compliance with program requirements, appropriate resource utilization, and identification of cost‑saving opportunities.
• Monitors program data, quality indicators, participant feedback, and operational trends to identify opportunities for improvement and support program effectiveness.
• Assists with preparation for audits, NYSDOH site visits, quality assurance reviews, and other compliance activities.
• Collects participant and staff feedback, as appropriate, to support improvements in participant experience, workplace culture, and program operations.
• This is not inclusive of all tasks. Performs other related duties as assigned.
