  • Coordinate with warehouse to confirm inventory receipt and update order status.
  • Process returns, credits, and return authorizations with approvals.
  • Collaborate cross-functionally with Production, Logistics, Finance and Merch.
  • Support Account Executives with sales reports and new account materials.

Job description

Naked Wardrobe is seeking a talented Wholesale Customer Service Coordinator to join our dynamic team. The Wholesale Customer Service Coordinator is a key liaison, responsible for supporting the wholesale department with all customer processes and logistics. This role streamlines communication, provides excellent customer service, and ensures operational efficiencies. The coordinator will work closely with the sales team to manage information flow to both sales and customers, maintain accurate system updates, ensure timely order processing and collection of prepayments, and coordinate shipping with the warehouse team to meet delivery dates.

This position interacts with internal teams including Logistics, Production, Finance, and Inventory, as well as internal or external sales representatives. The ideal candidate thrives in a deadline-driven, fast-paced environment and works with a high level of self-direction.

Responsibilities
  • Order and Customer Management: Manage the end-to-end process for sales order entry, changes, shipping, and invoicing. Enter and process orders from new customer creation to final invoice
  • System & Data Accuracy: Manage new customer set-up forms for accuracy in Netsuite and Nuorder. Maintain accurate records for monthly shipping visibility
  • Logistics & Fulfillment: Coordinate with sales reps and logistics to confirm inventory receipt and update order status in Nuorder/Netsuite. Allocate orders to the Distribution Center (DC) and monitor fulfillment progress
  • Warehouse Communication: Maintain effective communication with the warehouse to ensure timely order processing, address issues, and confirm shipping occurs daily prior to cancel dates
  • Returns & Credit: Assist customers with Return requests, swaps, and exchanges (with Head of Sales approval). Process returns, Credit Memos, and Return Authorizations, and create UPS/DHL return labels
  • Cross-Functional Collaboration: Work with Production and internal logistics to expedite product delivery. Collaborate with the Merch team to cleanse systems of "dropped styles" and communicate updates. Work with Finance to resolve chargebacks
  • Administrative Support: Assist Account Executives with various administration tasks, including sales reports, creating linesheets, and compiling new account presentations
Qualifications
  • At least 4+ years working in a wholesale customer service role
  • Working proficiency in data entry systems and MS Office, with Excel proficiency being mandatory
  • Working proficiency with Netsuite, GS1, and SPS systems
  • Strong time management, organizational, and problem-solving skills
  • High degree of accuracy and excellent written and verbal communication skills
  • Ability to work well independently, displaying dependability and reliability
  • Excellent judgment and discretion; ability to handle multiple priorities, meet deadlines, and remain calm and professional in stressful situations
  • Must be able to lift and/or move up to 25 pounds
  • Able to work a flexible schedule to include occasional weekends and holidays
