Job summary

Refrigeration Sales Corporation seeks a detail-oriented Warranty Administrator to manage the warranty return process from receipt through vendor credit resolution. This role coordinates with vendors, purchasing, accounting, and branch teams to secure timely credits and maintain accurate records.

Qualifications

• High School Diploma or GED required.
• 1–2 years warehouse or related experience.
• Experience processing warranty/product returns preferred.
• Moderate computer proficiency, including data entry and recordkeeping.
• Strong organizational and time management skills.
• Excellent customer service and communication abilities.
• Ability to work independently while following established procedures.

Responsibilities

• Receive and inspect returned products from customers.
• Verify return documentation and confirm reasons for return.
• Evaluate returned items to determine disposition (return to vendor, repair, salvage, inventory, or scrap).
• Process and manage warranty return documentation, including PORM forms.
• Coordinate warranty returns with vendors and follow up to ensure timely credit reimbursement.
• Create and maintain accurate warranty return records and supporting documentation.
• Establish, document, and improve warranty return procedures and workflows.
• Maintain current vendor warranty information and update warranty return resources.
• Communicate warranty policy updates and process changes to internal teams.
• Assist with inventory management activities, including stock adjustments and record maintenance.
• Work closely with warehouse, accounting, purchasing, and store personnel to support efficient operations.

Refrigeration Sales Corporation (RSC) is seeking a detail-oriented and customer-focused Warranty Administrator to oversee and manage the warranty return process from receipt through vendor credit resolution. This role is critical in ensuring efficient processing of customer returns, maintaining accurate documentation, and coordinating with vendors, purchasing, accounting, and branch teams to secure timely warranty credits.

Key Responsibilities

• Receive and inspect returned products from customers.
• Verify return documentation and confirm reasons for return.

• Process and manage warranty return documentation, including Product Return Order Management (PORM) forms.
• Coordinate warranty returns with vendors and follow up to ensure timely credit reimbursement.
