About the role

The Warehouse Office Admin. provides administrative and clerical support to the warehouse and distribution operation. This position is responsible for maintaining accurate records, processing paperwork, entering data, assisting employees, customer, supervisors, and supporting the day-to-day administrative needs of the facility.

  • Perform daily administrative and clerical duties to support warehouse operations.
  • Enter and maintain accurate information in company systems, spreadsheets, and databases.
  • Prepare, organize, scan and file warehouse documentation, shipping/receiving paperwork, reports, and records.
  • Assist with employee timekeeping, attendance records, schedules, and other personnel-related administrative tasks.
  • Assist warehouse supervisors and management with reports, data collection, and document preparation.
  • Monitor and maintain inventory-related paperwork and assist with resolving discrepancies.
  • Communicate with transportation providers, vendors, customers, and internal departments as needed.
  • Answer phones, respond to emails, greet visitors, and direct questions to the appropriate department.
  • Process incoming and outgoing paperwork and ensure documents are complete and accurate.
  • Maintain confidentiality of employee, customer, and company information.
  • Assist with safety documentation, incident reports, training records, and other compliance-related paperwork.
  • Maintain organized electronic and physical filing systems.
  • Provide general administrative support to the warehouse management team.
  • Must follow proper safety procedures
  • Must follow all work instructions and procedures
  • Must maintain a clean working area
  • Must be able to pass drug tests and criminal background checks as part of employment.
  • Perform other duties as assigned.
Qualifications
  • Strong attention to detail and organizational skills.

  • Proficiency with Microsoft Office, particularly Excel and Outlook.
  • Ability to learn and accurately use company software and warehouse management systems.
  • Must be able to speak, read, write and understand the English language.

  • Reasoning skills with the ability to understand and execute instructions.
  • Must have the ability to work safely in a team and warehouse environment

Physical Requirements

While performing the duties of this job, the employee is regularly required to use hands to fingers, handle or feel; reach with hands and arms; and talk and hear. This position frequently requires standing; walk; and stoop, kneel crouch or crawl. Occasionally required to sit, climb and balance. Must be physically capable of constantly lifting and/or moving objects up to 50 pounds. Specific vision abilities required by this position includes close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.

Education & Experience

1. High school diploma, GED or equivalent years of experience, preferred

2. Previous office, administrative, warehouse experience preferred

3. Familiarity with modern warehousing practices and methods or the ability to

learn processes and procedures

This position works in a warehouse setting with various temperatures. Warehouse temperatures vary from freezer, refrigerator, climate control to no climate control warehouses as well as some outdoor exposure. While performing the duties of this job, the employee is exposed to moving mechanical parts, vibrations, two-way forklift flow and loud noise.
