Job summary

Hello Neighbor is hiring for a volunteer coordinator to strengthen volunteer engagement, track participation, and support program evaluation. You will recruit and train volunteers, manage records in Salesforce, and build community partnerships with libraries, universities, and faith-based organizations.

The ideal candidate brings strong interpersonal skills, experience with volunteer programs, and a commitment to refugee support. This is a full-time, in-house role with comprehensive benefits.

Qualifications

  • Bachelor’s degree or relevant work experience with refugee/immigrant communities.

  • Maturity, emotional intelligence, and conflict-resolution ability.
  • Experience with digital systems (Google Suite, Mailchimp, Salesforce, Notion).

Job description

Founded in 2017, Hello Neighbor works to improve the lives of recently resettled refugee families by matching them with dedicated neighbors to guide and support them in their new home. We’ve expanded from our mentorship program to now include refugee resettlement services, family service programs, a national program supporting other refugee and immigrant nonprofits around the country.

Reports To: National Network Manager

Direct Reports: Possible interns.

Key Responsibilities

Responsibilities may shift over time as Hello Neighbor continues to restructure and strengthen its volunteer engagement systems and team workflows.

Volunteer Coordination and Management
  • Help design and strengthen flexible volunteer engagement models that expand the role of volunteer captains and teams, building long‑term volunteer leadership and organizational capacity.
  • Recruit, train, steward, and supervise prospective and new volunteers, including bi‑weekly information sessions for all potential volunteers and regular training for specialized volunteer roles, and update digital materials including written guides and training videos.
  • Collaborate with staff to identify and prioritize volunteer needs.
  • Match volunteers’ qualifications and interests with organizational and client needs; curate and distribute a weekly email highlighting current volunteer opportunities.
  • Create pathways for volunteers to take on leadership roles and co‑facilitate programming.
  • Ensure effective communication and maintain relationships with volunteers including: prepping communication before volunteering, availability during, and follow up afterwards; thank‑you notes, emails, and in‑person events.
  • Coordinate van transportation for volunteer activities or in‑kind pick‑ups as needed using the Hello Neighbor van.
Data, Evaluation, and Systems Improvement
  • Develop and maintain accurate, up‑to‑date volunteer records, including availability, skills, language capacity, engagement status, and background checks/clearances.
  • Track volunteer engagement data, including volunteer hours, communication effectiveness, response rates, and fulfillment of volunteer needs.
  • Support ongoing evaluation of the volunteer program by preparing quarterly reports, identifying trends, and sharing insights that strengthen volunteer recruitment, placement, retention, and overall program effectiveness.
  • Regularly share relevant data and insights with programs, leadership, and stakeholders to support informed decision‑making around volunteer opportunities, processes, and organizational needs.
  • Maintain accurate and up‑to‑date volunteer data in Salesforce, while contributing input on opportunities to continuously improve, streamline, and strengthen volunteer management systems and processes.
Community Partnerships and Volunteer Engagement
  • Manage and maintain community partnerships that directly relate to volunteer roles (e.g. libraries, clothing closets, FreeRide Pittsburgh, Goodwill).
  • Conduct outreach and foster partnerships with universities, churches, synagogues, mosques, and other religious institutions as well as corporate responsibility and community engagement departments.
  • Collaborate with the Development team to identify and cultivate and lead corporate volunteer opportunities.
  • Speak at events and represent Hello Neighbor in the community.
Professional Learning and Field Engagement
  • Participate in relevant trainings, workshops, and peer learning opportunities to strengthen volunteer engagement practices.
  • Research and share tools, resources, and best practices related to volunteer management, newcomer support, and community engagement.
  • Support COMPACT‑related volunteer engagement activities, learning, and reporting, as needed.
Qualifications
  • Bachelor’s degree /Relevant work experience and a demonstrated ability to effectively work with refugee and immigrant communities
  • Strong interpersonal skills, ability to manage a variety of tasks effectively, set priorities, and meet deadlines
  • Proven ability to work with maturity and emotional intelligence, receive feedback, work through conflict with integrity, and operate within principles of solidarity when working in partnership with people impacted by oppression.
  • Previous experience or willingness and ability to learn digital systems including: Google Suite, Mailchimp, Salesforce, Notion
  • Valid driver’s license, access to a personal vehicle, and proof of insurance
  • Personal auto insurance with a minimum $300,000 single combined limit of liability coverage
  • Evaluation skills are a plus
  • Skills in mediation and/or conflict management a plus
  • Car, valid driver’s license and proof of insurance (Required)
  • Alignment with and support of Hello Neighbor’s core values

Additional Details
  • $20-$22/hour, 40 hours weekly
  • This is an in‑house, regular, full‑time, non‑exempt position. Clearances required: Pennsylvania Child Abuse History Clearance, Pennsylvania State Police Criminal History Clearance, Federal Bureau of Investigations (FBI) Criminal History Clearance (PA Act 23 & Act 24); Mandatory Reporter and/or PSEA training may also be required depending on job requirements
