Job summary

Hello Neighbor is seeking a detail-oriented Development Assistant to provide essential operational and administrative support to the Development team. This part-time role manages donor data accuracy, processes acknowledgments, and coordinates across fundraising systems, including Salesforce and external donor platforms, in an office setting in Larimer, Pittsburgh.

Qualifications

  • Associate's or Bachelor's degree in business administration, nonprofit management, communications, marketing, or a related field; or equivalent professional experience.
  • Experience with CRM or donor database systems (Salesforce preferred).
  • Proficiency with Google Workspace, spreadsheets, and digital collaboration tools and familiarity with Canva or similar design platforms.
  • Ability to manage multiple priorities while maintaining accuracy and organization.
  • Strong organizational, problem-solving, and follow-through skills, with exceptional attention to detail and a proactive attitude.

Responsibilities

  • Maintain and update donor records in Salesforce, ensuring accuracy, consistency, and completeness.
  • Reconcile donor information across multiple fundraising platforms (e.g., Stripe, PayPal, Benevity, and other donor portals).
  • Prepare, print, and send donor acknowledgment letters in a timely and accurate manner.
  • Support ongoing data cleanup, organization, and quality control across fundraising systems.
  • Maintain internal tracking spreadsheets, reports, and shared documentation to support Development operations.
  • Provide day-to-day administrative support to the Development team.
  • Assist with planning and executing fundraising and community events, including logistics, registration, materials, guest lists, and on-site support.
  • Help coordinate internal workflows and maintain organized digital files and resources.
  • Maintain the department's Master Content Database, ensuring program updates, stories, photos, and supporting materials remain current, organized, and accessible.
  • Organize and maintain the Development team's shared content resources, including the photo library and digital asset folders.
  • Collect, organize, and archive photos, stories, and program updates from internal teams and shared platforms.
  • Track merchandise inventory and assist with organizing branded materials.
  • Create or update simple marketing materials using established templates.
  • Assist with basic social media content preparation and scheduling as requested.
  • Support the Marketing & Communications Manager with administrative and production-related tasks as needed.
  • Support the Development team and cross-department coordination as needed.
  • Participate in team meetings and support improvements to systems and processes.
  • Maintain confidentiality and handle sensitive donor information responsibly.
  • Complete other duties as assigned in support of the Development team's goals.

Hello Neighbor is seeking a detail-oriented and highly organized Development Assistant to provide essential operational and administrative support to the Development team. This part-time role ensures the accuracy of donor data, timely processing of acknowledgments, and smooth coordination across fundraising systems, including Salesforce and external donor platforms.

Description

The Development Assistant also supports fundraising events and helps maintain the department's shared resources, including content, digital assets, and organizational systems, ensuring the Development team has accurate, accessible, and well-organized information to support fundraising, communications, and community engagement.

Founded in 2017, Hello Neighbor empowers refugees and immigrants through community connections, helping them move from arrival to belonging with dignity, cultural sensitivity, and meaningful support. Our work is organized across three departments: Education & Community Empowerment, Family Health Services, and Employment, each running programs designed to meet the unique needs of the communities we serve. In addition to our local work, we lead a National Network of grassroots organizations across the U.S., united by a shared commitment to supporting refugee and immigrant families and inspiring long‑term change.

Reports To: Director of Development

Key Responsibilities:

Donor Database, Systems & Administrative Support

  • Maintain and update donor records in Salesforce, ensuring accuracy, consistency, and completeness.
  • Reconcile donor information across multiple fundraising platforms (e.g., Stripe, PayPal, Benevity, and other donor portals).
