Job summary

Harbor in Toledo is seeking a Vocational Coordinator to lead the Vocational Services team, oversee program delivery, and support staff development. This role emphasizes customer service, data reporting, and collaboration with program leadership to drive quality outcomes.

The position requires a Bachelor's degree in counseling or social work with relevant experience; proficiency with Windows and MS Office is expected.

Qualifications

• Minimum a Bachelor's degree in counseling, social work or related field plus 1 year vocational rehabilitation experience, or an Associates degree plus 3 years experience, or 5 years in vocational rehab.
• Preference for professional license (CRC, LPC, LSW, LMHC).
• Proficient with technology; able to generate and interpret performance data.
• Commitment to delivering excellent customer service and to supervising staff to achieve results.

Responsibilities

• Assist with creating an inspiring team environment and champion for customer care.
• Provide personnel supervisory functions including evaluations, hiring involvement, and disciplinary actions.
• Ensure needs of clients are met with visit scheduling and payer source eligibility; verify information.
• Train staff, manage, coordinate, evaluate, and supervise all operations within assigned staff.
• Monitor payroll for accuracy.
• Identify issues impacting vocational service resources and report improvements to the IPS Program Manager.
• Manage referrals, authorizations, and reporting for billing.
• Monitor documentation for quality and timely entries within 48 hours of service.
• Meet with stakeholders to provide updates and address issues.
• Oversee daily office functions to ensure services comply with Harbor policies.
• Provide feedback to improve efficiency of the vocational services team.
• Ensure customers receive excellent service per Harbor standards and address issues as needed.
• Support clients with difficulties toward appropriate staff linkage.
• Gather data and participate in CARF and DBH Fidelity reviews.
• Handle administrative duties for the IPS Program Manager.
• Provide IT troubleshooting and coordination with IT.
• Order and distribute office supplies.
• Attend vocational and other staff meetings and complete weekly case management with staff.
