Job summary

The Columbia Pacific Heritage Museum in Ilwaco, WA is seeking a part-time Visitor Service Manager to oversee front desk, museum store, memberships, volunteers, rentals and service contracts. This role reports to the Executive Director and focuses on delivering a positive visitor experience while assisting with budget adherence and museum events.

Qualifications

  • Bachelor’s degree or equivalent work experience preferred.
  • Experience with website management, particularly WordPress.
  • Cash handling and customer service experience.
  • Supervisory experience in visitor services, retail, or related field.
  • Knowledge of Past Perfect database software.
  • Experience utilizing common software including Canva, Excel, Square, Past Perfect and QuickBooks.
  • Experience supervising volunteers.
  • Minimum of 2 years’ experience museum, historic site, non-profit, or related field.

Job description

Title: Visitor Service Manager
Hours Part Time: 30 hours per week (Must be able to work Saturdays 9:30am – 4:30pm)
Salary: Hourly non-exempt $30,000-45,000 annually plus $500 health insurance stipend
Location: Columbia Pacific Heritage Museum, 115 SE Lake St. Ilwaco, WA 98624

Reporting directly to the Executive Director this position manages operations of the museum’s visitor services including the museum store, membership program, volunteer program, and facility rentals and service contracts. Responsible for managing and maintaining a positive visitor experience, assisting with budget development and adherence to approved budget as well as museum events and fundraisers. Successful performance includes the ability to work both independently and as a part of team. Fills in for absent staff as needed. This position is part of a career track with potential advancement opportunities for the right candidate. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The essential functions listed below are representative of the responsibilities of the position.

Essential Functions and Responsibilities
Membership

Maintains records for and processes all incoming contributions related to member, donor, and prospective donor information. Responsible for timely information updates, generating giving and donor reports, and preparing mailing lists. Develop and implement strategies and programs to improve efficiency and increase membership and donations. Responsible for setting up systems and policies to improve performance and create methods for donor appreciation.

Museum Store / Front Desk

Manages the implementation of Front Desk and Museum Store procedures including visitor admissions and tracking. Also manages the inventory control and sales tracking of the store and works with museum team to create a well-curated and displayed space. This position is responsible for developing relationships with local vendors to stock locally sourced products whenever possible. This position is responsible for opening, closing, and managing front desk as well as onsite Saturday Museum manager.

Volunteers

Develop, implement and manage robust volunteer program for the Museum that includes recruitment, orientation, training, evaluation, scheduling, tracking, and appreciation. This position has direct oversight of front desk and event/education volunteers and is responsible for coordinating with other departments regarding assigned volunteers for communication, milestone and tracking/records purposes.

Public Relations and Website Management

Responsible for oversight of press releases and submissions to community calendars. This position also oversees the maintenance of the museum’s WordPress-based website and is responsible for ensuring the website maintained and updated.

Outreach

Develop and implement programs and events that support the Museum’s mission to preserve the past while inspiring the future. Create programs to expand participation and excite new audiences about the Museum and our community’s stories. Development of the means to evaluate program success and work with Executive Director to seek funding to support program and staff development.

Required Knowledge, Skills and Ability

Position requires a person who is highly organized, enthusiastic, energetic, and creative and has a passion for working with various audiences, including the public. Successful performers will be self-starters with a proven ability to meet multiple deadlines and balance numerous projects simultaneously. Time management skills and the ability to manage a variety of responsibilities are very important as well as the ability to respectfully manage interactions with staff, volunteers and the public. This position requires excellent verbal and written communication skills.Other duties as assigned.
