Job description

We are seeking a highly analytical and detail-oriented Virtual Assistant to support our growing team in Digital Advertising! This role will be responsible for providing high-level admin support to cross-functional teams.

Key Duties and Responsibilities:

  1. Calendar/Schedule Management:
    • Schedule and organize various meetings, including Coffee meetups, Quick connects, Podcast pre-calls, Podcast recordings, Client meetings, and Internal team meetings.
    • Ensure all meetings are confirmed and reminders are set.
    • Coordinate with participants to find mutually available times.
    • Manage calendars to avoid conflicts and optimize schedules.
    • Set up Zoom meetings and format calls.
    • Manage schedules for internal and external meetings.
  2. Admin Support:
    • Provide admin support for various executives as needed.
    • Conduct miscellaneous research (address lookups, project inquiries, etc.).
    • Procure items for internal and client needs, including book ordering.
    • Manage file organization.
    • Participate in weekly team calls.
    • Enhance client experience through gifting and project kick-offs.
    • Assist with invoice management, including accounts payable and receivable.
  3. Event Management:
    • Plan, prepare, and coordinate logistics for Courage Week projects.
    • Reach out to organizations and events for speaking opportunities.
    • Handle content updates and website management.
  4. Additional Responsibilities:
    • Update websites.
    • Edit and proofread keynotes for clients and internal projects.
    • Create assets using Canva.

Requirements/Qualifications:

  • Proficiency in Microsoft Office (Excel, PowerPoint) and Google Suite (Drive, Sheets, Slides).
  • Experience with Slack and Asana (training available if needed).
  • 3-5 years of relevant operations support experience.
