Job description

Position Summary

The VIP Transportation Specialist provides safe, discreet, polished, and highly personalized transportation services for VIP and other designated hotel guests. Serving as an extension of the hotel's guest experience beyond the property, this position ensures every transportation interaction reflects exceptional hospitality, professionalism, discretion, and attention to detail.

Working primarily on an on-call, as-needed basis, the VIP Transportation Specialist provides transportation to and from airports, private aviation facilities, restaurants, meetings, events, and other destinations. The Specialist is expected to anticipate guest needs, maintain awareness of timing and logistics, protect guest privacy, and create a comfortable and welcoming experience throughout each journey.

Because VIP transportation needs may arise outside traditional business hours or change with limited notice, significant scheduling flexibility and dependable responsiveness are essential requirements of this position.

Essential Duties & Responsibilities
  • Provide safe, timely, professional, and personalized transportation for VIP and designated hotel guests.
  • Transport guests between the hotel, commercial and private airports, restaurants, business meetings, special events, and other requested destinations.
  • Monitor assigned flight schedules, traffic conditions, weather, road closures, and other circumstances that could affect transportation plans.
  • Arrive in advance of scheduled pickup times and remain prepared for reasonable changes to guest itineraries.
  • Provide a polished arrival and departure experience, including appropriate greetings, luggage assistance, vehicle entry and exit assistance, and coordination with hotel team members.
  • Maintain the highest standards of professionalism, discretion, confidentiality, and personal conduct.
  • Protect guest privacy and refrain from discussing guest identities, conversations, destinations, activities, or other confidential information.
  • Anticipate reasonable guest needs and personalize the transportation experience when appropriate.
  • Maintain professional conversation while recognizing and respecting guests who prefer privacy or quiet.
  • Assist with luggage and personal belongings, ensuring items are handled carefully and securely.
  • Maintain timely communication with the hotel regarding pickups, arrivals, delays, itinerary changes, and other relevant transportation information.
  • Coordinate closely with Front Office, Concierge, Guest Relations, Security, and hotel leadership to provide seamless guest arrivals and departures.
  • Ensure assigned vehicles are clean, fueled or charged, properly presented, and ready for guest transportation.
  • Complete required pre-trip vehicle inspections and immediately report maintenance, safety, cleanliness, or operational concerns.
  • Maintain working knowledge of local airports, private aviation facilities, major destinations, restaurants, attractions, medical facilities, and alternate transportation routes.
  • Follow all applicable traffic laws, hotel safety requirements, vehicle-use policies, and transportation regulations.
  • Maintain required trip logs, mileage records, vehicle documentation, and other transportation records.
  • Respond calmly and professionally to unexpected circumstances, including flight delays, itinerary changes, traffic disruptions, vehicle concerns, and emergencies.
  • Perform other transportation and guest-service responsibilities as assigned.
On-Call Responsiveness & Flexible Availability

The VIP Transportation Specialist must maintain a flexible schedule and be available for assignments that may include early mornings, evenings, weekends, holidays, and other nontraditional hours based on guest and hotel needs.

When contacted regarding an available assignment during periods in which the employee has indicated availability, the employee is generally expected to acknowledge the request within 30 minutes and confirm whether they are able to accept the assignment.

Once an assignment is accepted, the employee is expected to report at the communicated time and location and allow sufficient preparation and travel time to ensure the guest is never inconvenienced by a late arrival.

Transportation assignments may change as a result of flight delays, weather, guest itinerary changes, or other circumstances. Flexibility, reliability, and proactive communication are therefore essential to successful performance in this role.

On-call status does not guarantee a specific number of hours or assignments.

Standards of Conduct
  • Vehicle Food & Beverage Standard: To maintain the cleanliness, presentation, and readiness of company vehicles for VIP guests, eating is not permitted inside company vehicles at any time.
  • Personal Grooming & Hygiene: Maintain the highest standards of personal grooming, hygiene, and professional appearance at all times, consistent with the expectations of a luxury/VIP transportation environment.
VIP Service & Confidentiality

Because this position may interact with high-profile individuals, executives, dignitaries, celebrities, donors, ownership representatives, and other VIP guests, exceptional discretion is an essential requirement.

The VIP Transportation Specialist may not photograph guests, request photographs or autographs, post information regarding guest interactions on social media, disclose guest information, or otherwise use access to hotel guests for personal purposes.

Information overheard or learned while performing transportation responsibilities must be treated as confidential.

Qualifications
  • Prior professional driving, executive transportation, luxury hospitality, concierge, valet, guest services, or other high-touch service experience strongly preferred.
  • Experience transporting VIP, executive, luxury hospitality, or high-profile clientele preferred.
  • Valid driver's license and acceptable driving record.
  • Ability to satisfy all company driving eligibility requirements and applicable background and motor vehicle record screening.
  • Highest level of personal grooming & hygiene standards.
  • Strong knowledge of the local area, airports, major roadways, and transportation routes.
  • Excellent judgment, maturity, professionalism, and situational awareness.
  • Exceptional interpersonal and guest-service skills.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Professional appearance and demeanor consistent with luxury hospitality standards.
  • Ability to remain calm and resourceful when plans change unexpectedly.
  • Ability to work independently while maintaining effective communication with hotel leadership.
  • Ability to use navigation, flight-tracking, communication, and other transportation-related technology.
  • Ability to lift and handle guest luggage, typically up to 50 pounds, with or without reasonable accommodation.
