Job summary

NY RE Services on Long Island seeks a Violations & Compliance Associate to manage regulatory filings and violations across its real estate portfolio with agencies like DOB, FDNY, HPD, and DOH.

Qualifications

  • Strong literacy in MS computer programs and software.
  • Fluent in a second language is a huge plus.
  • Ability to work independently and meet critical deadlines.

Responsibilities

  • Maintain and monitor compliance and violation files with DOB, FDNY, DEP, HPD, DOH hearings and related filings.
  • Electronically execute documents for FDNY, DOB, HPD and other agencies.
  • Liaise between permit applications and management.
  • Monitor façade, plumbing and elevator inspections; gather repair proposals.
  • Ensure violations are resolved before the cure date.
  • Notify commercial tenants and non-tenants of violations and secure indemnification.
  • Ensure compliance and maintain files for liability and insurance policies.
  • Prepare reports to property managers, departments and executive staff.
  • Handle correspondence and work on special projects as needed.

Job Description

We’re looking for a Violations & Compliance Associate to join our team on Long Island.

We are an established real estate owner/management company in business for 80+ years with properties in Manhattan, Queens, Brooklyn, Scarsdale and the Bronx.

Candidates must be self-driven, reliable, willing to learn and be resourceful. Strong computer skills, proficient writing skills and strong communication skills are a must. This is an incredible opportunity for an extremely organized individual that thrives in a fast paced environment that requires multi-tasking, the ability to time manage and transition from task to task with ease.

Day to day duties will include, but are not limited to:

  • Maintain and monitor compliance and violation files relating to the following agencies: DOB, FDNY, DEP, HPD, DOH hearings, violations, agency filings, as well as ensure that entire portfolio is in compliance with various rules and regulations;
  • Electronically execute documents for FDNY, DOB, HPD, etc
  • Liaison between permit applications and management;
  • Monitor façade inspections, plumbing inspections, elevator inspections as well as gather and maintain proposals for repairs,
  • Ensure that violations are resolved prior to the cure date;
  • Notify commercial tenants when violations are cited to their premises and monitor until they substitute and indemnify us in writing;
  • Notify non-tenants that are responsible for violations cited at our buildings and follow-up accordingly;
  • Ensure all compliance and maintenance recommendations from banks and insurance companies are complied with, where reasonable;
  • Maintain, monitor, and organize a file for each violation which has all the necessary documentation such as proposals, pictures, the violation, case law, etc.
  • Maintain, monitor, and organize compliance on non-ECB related elevator violations;
  • Maintain, monitor and organize all liability and insurance policies;
  • Maintain, monitor, and organize tenant policies, renter’s insurance documents, etc.
  • Manage and compose tenant notices as needed;
  • Prepare and provide reports to property managers, various departments, and executive staff members as required and requested
  • Prepare correspondence
  • Work on special project as needed

Requirements, Knowledge & Experience:

  • Experience: 2+ years
  • Energetic, Personable
  • Ability to prioritize assigned duties while working on multiple projects at one time
  • Strong literacy in MS computer programs
  • Fluent in a second language is a HUGE PLUS
  • Ability to work independently and meet critical deadlines
  • Superior organization, problem solving, oral and written communication skills
