Job summary

Chenega Enterprise Systems & Solutions, LLC is seeking Victim Notification Administrative Analysts (VOSS and CENP roles) to support the FBI Victim Notification System. You will provide central administrative support, maintain data accuracy in FBI systems, and develop expert knowledge of relevant databases and guidelines.

The position requires active TS clearance, a Bachelor's degree or 4 years of equivalent experience, and onsite work in Washington, D.C.

Qualifications

  • Active Top Secret clearance is required.
  • Bachelor’s degree from an accredited University or 4 years of relevant experience in a professional environment performing similar tasks.
  • Minimum of two years of relevant experience.
  • Onsite work in Washington D.C.; telework not permitted.
  • Proficient in MS Word, MS Excel and MS Outlook; familiarity with SharePoint.

Responsibilities

  • Provide administrative support to FBI victim services providers for case management.
  • Typing/word processing tasks including memos and correspondence; may use mail merge.
  • Open, review, and prioritize mail; handle faxes and copies.
  • Enter data and generate reports to track statistics and project status.
  • Prepare recommendations and assist in testing new or modified systems.

Chenega Enterprise Systems & Solutions, LLC, a Chenega Professional Services’ company, is looking for Victim Notification Administrative Analysts, including VOSS and CENP roles to work with FBI’s Victim Notification System (VNS) to help ensure that the FBI’s responsibility for timely notification is met. These positions will provide full service administrative support to victim services providers (VSPs) to lighten the administrative load for the direct service providers to victims, provide one central location for data management and storage, and to help maintain data accuracy inside of FBI systems and VSD databases. The victim notification analyst contractors shall develop expert knowledge on FBI systems, VSD databases and the Attorney General Guidelines for Victim and Witness Assistance in support of the FBI VSPs both in the field and at headquarters.

Responsibilities
  • Support FBI victim services providers for administrative duties in conjunction with case management.
  • Provides typing/word processing support (including spreadsheet applications) to include composing internal and external routine/non-routine memos and correspondence with minimal direction, obtaining appropriate approvals. May generate labels using mail merge. Completes standard office forms; handles confidential/secret subject matter frequently.
  • Opens, reviews, prioritizes and takes action on incoming mail within three business days; sends mail using appropriate mail carrier; sends/receives faxes and makes copies when needed.
  • Enters data, maintains information, manipulates and defines reports for specific tracking purposes (statistics, project status).
  • Generates reports, evaluates data and makes recommendations/summarizing trends for supervisor/Victim Specialist review. Material may largely consist of confidential information; requires use of judgment and discretion.
  • Handle confidential subject matter frequently.
  • Develops, sets up, maintains and retrieves organizational files and records that are generally electronic or manual.
  • Communicates with appropriate internal and external offices to ensure that required procedures are followed.
  • Assists in testing new or modified systems to check functionality and business processes.
  • Assists in preparing recommendations for implementation of new or modified systems, work procedures, or organizational changes.
  • Develops relationships with internal partners/clients, which may require in person meetings or site visits.
  • Provides system training as needed and develops a training SOP with the VNS-Coordinator.
  • Provides mentorship and training to new victim notification analysts
Qualifications
  • Active Top Secret clearance. Applicants must already hold this clearance; clearance sponsorship, processing, reinstatement, or upgrades cannot be provided by the employer.
  • Bachelor’s degree from an accredited University
  • Education can be substituted with four (4) years of relevant experience in a professional environment performing similar administrative tasks to those outlined above
  • Minimum of two (2) years of relevant experience in a professional environment
  • Work schedules vary based on client needs. Shift starts may range from 7:00AM to 9:30AM, and shift ends may range from 4:00PM to 6:00 PM. Assigned shifts, work hours, and schedules are subject to change in accordance with client requirements and operational needs.
  • Ability to work onsite in Washington D.C. -Telework is not permitted
  • Able to prepare and modify documents including correspondence, reports, drafts, memos and e-mails
  • Experience and be proficient in MS Word, MS Excel and MS Outlook
  • Manipulating data in Microsoft Excel 2008 or later version to include:
  • Creating new spreadsheets
  • Entering data, auto fill features, adding and adjusting columns and rows
  • Sorting, Filtering and Freezing Panes
  • Moving and copying worksheets within a workbook
  • Separating data in one cell to multiple cells using Text – to – Columns
  • Grouping data together using the Concatenate function
  • Working knowledge of basic excel formulas
  • Experience in prioritization of projects and have strong problem-solving skills, good research skills and attention to detail
  • Able to work effectively with others and have good interpersonal skills
  • Program and project management experience
  • Able to coordinate/facilitate/lead meetings & conference calls, etc. with internal and external customers
  • Experience creating and giving formal presentations
  • Experience using Microsoft SharePoint and Microsoft Outlook.
  • Experience and proficiency utilizing, building, and updating Microsoft SharePoint Websites.
