Job description

HeartShare Human Services is a leading nonprofit organization dedicated to improving the lives of individuals and families in need. With a strong commitment to providing essential social services, HeartShare operates a wide range of programs and initiatives to empower those it serves. We are seeking a VP of Finance & Systems (VPFS) to join our dedicated team and help drive financial excellence, internal controls, and systems modernization within our organization.

The Vice President of Finance and Systems holds a crucial position within HeartShare Human Services, driving the optimization of internal controls and spearheading the modernization of systems and policies. This role demands a dynamic and seasoned finance professional with extensive expertise in nonprofit financial management and a proven track record in staff leadership. Reporting directly to the Chief Financial Officer (CFO), the VPFS will offer strategic guidance to a team of direct and indirect reports, playing a key role in enhancing the organization's financial systems, processes, and reporting.

Under the direct supervision of the Vice President of Finance and Systems is the Payroll Department, consisting of five (5) staff. In addition, this position will work closely with the Purchasing & Procurement and Fiscal Systems Departments.

Primary Roles and Responsibilities

1. FINANCIAL LEADERSHIP

  • Collaborate with the CFO and senior leadership team to develop and implement the financial systems & strategy to support HeartShare's mission and long-term goals.

2. POLICIES & PROCEDURES, INTERNAL CONTROLS AND COMPLIANCE

  • Strengthen and monitor internal controls, policies, and procedures to ensure the accuracy and integrity of financial data.
  • Ensure compliance with all relevant financial regulations and guidelines.
  • Develop and maintain financial policies and procedures that align with best practices and industry standards.
  • Ensure all financial practices are transparent, consistent, and compliant.

3. MODERNIZATION OF SYSTEMS

  • Spearhead the advancement of financial systems, prioritizing the optimization of financial management software such as NetSuite. This involves not only enhancing existing systems but also overseeing the seamless integration of any new fiscal software to streamline processes through automation, ultimately enhancing data accuracy and decision-making capabilities.
  • Establish robust connectivity among various systems, including Kissflow, Asara, Millin, Paycom, NetSuite, and other relevant platforms, to ensure the accuracy and reliability of financial reporting. Implementing data integration protocols and standardized reporting frameworks will further bolster the coherence and integrity of financial information across the organization.
  • Lead initiatives aimed at driving process improvements to elevate operational efficiency and effectiveness, ultimately fostering a more agile and responsive organizational structure. This includes identifying bottlenecks, streamlining workflows, and leveraging emerging technologies to optimize resource allocation and enhance overall productivity. Regular assessment and refinement of processes will be integral to sustaining continuous improvement and adaptability in a rapidly evolving landscape.

4. STAFF MANAGEMENT

  • Exercise adept leadership in managing a team of direct reports, including overseeing the Director of Payroll cultivating a culture of accountability, innovation, and continuous growth within the team.
  • Foster a collaborative and high-performance work environment by articulating clear expectations and objectives, aligning individual roles with organizational goals, and empowering team members to contribute their expertise and insights toward collective success.
  • Championship in a culture of open communication, constructive feedback, and professional development, fostering a sense of belonging and engagement that inspires team members to excel and achieve their full potential.

5. STRATEGIC PLANNING

  • Contribute to the development of the organization's financial systems and strategic plans.
  • Work collaboratively with senior leadership to align financial objectives with organizational goals.

6. FINANCIAL REPORTING

  • Implement rigorous protocols to enhance both the accuracy and timeliness of financial statements, employing robust quality assurance measures to uphold the integrity of financial data.
  • Standardize financial reporting processes, establishing uniform templates and guidelines to ensure clarity, consistency, and comparability across all financial reports.
  • Vigilantly monitor and enforce compliance with all financial reporting requirements and regulations, proactively staying abreast of evolving standards and implementing best practices to mitigate regulatory risks effectively. Regular audits and internal controls will further reinforce adherence to statutory obligations.

Qualifications

Qualifications

  • Bachelor’s degree in finance, Accounting, or a related field. An MBA or CPA is a plus.
  • A minimum of 10 years of experience in nonprofit financial management (New York City) experience to bring insights and innovation to the financial management of HeartShare.
  • Demonstrated experience in developing and implementing internal controls and financial systems modernization.
  • Strong leadership and team management skills.
  • Proven track record with implementation of systems.
  • Outstanding experience with synthesizing and standardizing financial reporting.
  • Excellent communication and interpersonal abilities.
  • Proficiency in financial management software, preferably NetSuite.

  • Excellent verbal and written communication skills.
  • Thorough knowledge of nonprofit industry best practices and requirements with a proven ability to provide sound and ethical counsel to executive leadership.
  • Thorough understanding of internal controls and financial systems.

  • Strong supervisory and leadership skills.
  • High proficiency with Microsoft Office Suite or related software.
