Overview

THE ROLE

This role focuses on overseeing and coordinating events held at a specific venue, where Vibee events are held. The goal is to ensure that everything runs smoothly before, during, and after an event.

Responsibilities
  • Team Leadership & Supervision
    • Supervise and guide the team, ensuring tasks are performed efficiently and quality standards are met.
    • Encourage and support staff, maintaining a positive and productive work environment.
    • Assign responsibilities to team members to cover all areas during shifts.
    • Provide on-the-job training or guidance to new employees, ensuring understanding of procedures and expectations.
  • Administrative Tasks
    • Create and manage weekly staff schedules, balancing workload within budgetary constraints in collaboration with Project Managers, Producers and other stakeholders.
    • Monitor staff breaks in accordance with local labor laws and uphold all policies and procedures.
    • Address and resolve staffing issues promptly to maintain smooth operations; work with HR as needed.
    • Uphold safety protocols and promote a risk-free environment.
    • Timekeeping: Ensure staff follow schedules and breaks according to company guidelines.
    • Documentation: Complete necessary reports related to incidents, operational issues, or customer interactions.
    • Disciplinary Action: Address minor performance issues or conflicts within the team, escalating more serious concerns as needed.
    • Other duties as required.
  • Operational Oversight
    • Ensure smooth execution of daily operational tasks, maintaining efficiency and organization within the department.
    • Monitor availability of materials, equipment, or resources and inform management of shortages or issues.
    • Ensure team members complete their tasks as expected and provide guidance when needed.
  • Customer Service & Client Relations
    • Handle customer or client concerns and complaints promptly and professionally.
    • Ensure the team delivers high-quality service following organizational standards.
    • Manage complex or escalated customer service situations requiring managerial attention; ensure resolutions align with policies.
  • Health, Safety & Compliance
    • Ensure staff adheres to health and safety guidelines, maintaining a safe working environment.
    • Ensure operations follow company policies, procedures, and legal/regulatory standards.
    • Respond to emergencies or crises effectively, taking appropriate actions to manage the situation.
  • Communication & Reporting
    • Communicate clearly with the team, ensuring everyone is aware of responsibilities and updates during the shift.
    • Record significant incidents, customer concerns, or operational issues; inform management as necessary.
    • Provide feedback on performance and offer guidance for improvement.
Qualifications
  • Minimum 3 years in Event Production with leadership experience focused on fan experience, customer service, or hospitality, preferably in entertainment.
  • Strong professional references (at least 5).
  • Superior communication and organizational abilities with strong multitasking skills.
  • Proficient in Google Suite applications, particularly Google Sheets.
  • Ability to work long hours with a flexible schedule to meet operational needs.
  • Capable of adapting professionally to changes and unexpected situations in a dynamic event environment.
  • Willingness to work evenings and weekends as required by event schedules.
Work Environment
  • Must tolerate loud noise levels and busy on-site environments at events.
  • May sit for extended periods and work in varied temperatures.
  • Must be willing to work during evening and weekend hours and travel as required.
