Job summary

White Oak Veterinary Clinic is seeking a skilled Veterinary Receptionist to be the primary contact for clients and their pets. You will balance administrative precision with warmth across a wide range of interactions in a clinical setting.

Qualified candidates have at least 1 year of front-desk experience and familiarity with Cornerstone or similar software, delivering high-quality customer service even in emotionally challenging moments.

Qualifications

• Minimum 1 year of experience as a veterinary receptionist.
• Experience with veterinary practice management software; Cornerstone preferred.
• Proficiency in appointment scheduling, multi-line phone management, and payments.
• Strong customer service skills and ability to handle high-volume client relations.
• Comfortable working in emotionally sensitive situations.

Responsibilities

• Greet and check in clients and patients, verify and update medical records, and confirm appointment details.
• Answer and manage a multi-line telephone system and inquiries about scheduling, refills, and records.
• Process payments, post charges, explain invoices, and schedule follow-ups.
• Communicate medical information accurately and compassionately, including end-of-life discussions.
• Maintain electronic medical records and data entry in the practice management system.
• Coordinate with veterinarians and staff to relay client communications and urgent cases.
• Maintain cleanliness and organization of the reception area for a positive experience.
