Job summary

Thrive Pet Healthcare Specialists Mansfield is seeking an experienced Client Service Representative to join our dedicated team. In this role you will manage referrals, schedule appointments, handle client communications, and support front desk operations to ensure a smooth patient experience.

The ideal candidate brings client service experience, at least 1 year in veterinary medicine, excellent communication, the ability to multitask, and a friendly, compassionate approach.

  • Are paw-sitive, kind and provide trustworthy communication to the patients, team members and clients.

Responsibilities

  • Referral Coordination: Act as the primary point of contact for primary care veterinarians referring cases to specialists within the clinic.
  • Appointment Scheduling: Coordinate appointments for referred patients with specialist veterinarians.
  • Communication: Maintain clear and timely communication between primary care veterinarians, specialists, and clients.
  • Medical Records Management: Ensure that all relevant medical records are transferred securely and promptly from referring veterinarians to the specialist team.
  • Client Education and Support: Educate clients about the referral process and what to expect during consultations and follow-up care.
  • Billing and Insurance Coordination: Assist clients with understanding costs and pre-authorizations where applicable.

As a Client Service Representative (CSR)/Referral Coordinator, you’ll play an important role in pets’ lives by providing care for our precious patients, while coordinating and representing all facets of client services. A referral coordinator takes on specific responsibilities geared towards managing referrals from primary care veterinarians and ensuring that patients receive specialized care from experts in various fields of veterinary medicine. We are friendly, professional, courteous and show urgency and appropriate concern at all times. They must be efficient in handling difficult situations and skills at basic accounting and cash handling.

Role Responsibilities:
  • Referral Coordination: Act as the primary point of contact for primary care veterinarians referring cases to specialists within the clinic.
  • Appointment Scheduling: Coordinate appointments for referred patients with specialist veterinarians.
  • Communication: Maintain clear and timely communication between primary care veterinarians, specialists, and clients.
  • Medical Records Management: Ensure that all relevant medical records, including diagnostic images and laboratory results, are transferred securely and promptly from referring veterinarians to the specialist team.
  • Client Education and Support: Educate clients about the referral process, including what to expect during specialist consultations, procedures, and follow-up care.
  • Billing and Insurance Coordination: Assist clients with understanding the financial aspects of specialized veterinary care, including obtaining pre-authorizations from insurance companies if applicable. Coordinate billing processes between the specialty clinic, referring veterinarians, and insurance providers.
  • Follow-Up and Care Coordination: Facilitate continuity of care by following up with referring veterinarians after specialist consultations.
  • Quality Assurance: Monitor and evaluate the referral process to ensure it meets established standards of care and client satisfaction
  • Relationship Management: Build and maintain strong relationships with referring veterinarians and specialty care providers
  • Administrative Support: Provide general administrative support to the specialty clinic, including assisting with front desk duties, managing incoming calls, and ensuring a professional and welcoming environment for clients and visitors.
  • Continuing Education and Professional Development: Stay updated on veterinary medicine trends, procedures, and treatments relevant to the specialty clinic’s focus areas
  • Overall, the role of a specialty CSR/referral coordinator in a specialty veterinary clinic is critical in ensuring that animals receive timely and appropriate specialized care, while also fostering strong relationships with referring veterinarians and ensuring a smooth referral process from start to finish
