Job summary

Rockingham-Harrisonburg SPCA is seeking a Veterinary Client Services Coordinator to be the first contact for veterinary clients, setting the tone for visits with strong customer service and administrative support. You will handle scheduling, records, and invoicing within the Veterinary Care Center.

The role entails coordinating appointments, maintaining calendars in ShelterLuv, and processing payments while supporting clinics and ensuring compassionate client experiences.

Qualifications

• High School Degree; College Degree preferred.
• Customer service experience required.
• Previous experience as a veterinary receptionist or medical office assistant preferred.
• Strong organizational and multitasking skills.
• Ability to maintain a calm, professional demeanor; empathetic in emotional situations.
• Bilingual English/Spanish a plus.

Responsibilities

• Schedule all spay/neuter client appointments and manage communications.
• Maintain appointment calendar and ShelterLuv scheduling per director's guidance.
• Prepare and file paperwork for client appointments, including forms and invoices.
• Invoice clients for services at time of service or monthly as agreed.
• Maintain databases and assist monthly statistical analyses.
• Keep accurate client and medical records; provide courteous service.
• Support clinics (Rabies, Microchip, etc) and end-of-day duties as needed.
