Veterinary Client Service Representative/Hospital Assistant

(Dual/Cross Trained Role)

Pet Dental Clinic is looking for a Veterinary Client Service Representative/Veterinary Assistant to join our team as part of the Thrive Pet Healthcare community.

About You

This hybrid role is responsible for a variety of supporting tasks within the veterinary practice and will encompass clerical and clinical tasks. Clerical tasks include greeting clients/patients, appointment scheduling, preparing medical records, answering and directing incoming phone calls, presenting financial options, and processing and balancing financial payments. Clinical tasks include animal handling/restraining, processing laboratory work, cleaning and sterilizing equipment/facility, and a variety of tasks assisting both the veterinary technicians and DVMs. Strong customer service and teamwork skills are crucial for success in this role.

Hospital hours are Monday through Friday, 8 am to 5 pm. This role will be scheduled within these times and will be dependent on the hospital's needs. For example, some days may be spent solely at the front desk, helping with patients in the treatment areas, or as a float, assisting where needed.

Experience & Skills Requirements:
  • Experience as veterinary receptionist, or 1 year experience as a veterinary assistant
  • Possesses a positive work attitude
  • Self-motivated
  • Excellent communication and organization skills

  • Enjoys working in a fast-paced environment


Role Responsibilities:
  • Help strengthen relationships with our clients by greeting them and their pet! Help new client's complete registration and notify them of expected wait times.
  • Maintain client relationships and service standards by responding to phone calls, taking messages, and transferring calls as needed. Regular monitoring of email and faxes.
  • Schedule appointments, including in-office diagnostics and communicate with referring hospital staff to access patient records. Create appointment reminders, reschedule missed appointments.
  • Maintains computer records with up-to-date client and patient data, verifies each patient entering the hospital.
  • Maintains front desk, reception area, waiting areas and exam rooms in a neat and clean manner.
  • Ensures financial responsibilities are met. Reviewing charges for services upon completion or discharge, ensuring accurate reconciliation of cash drawer with computer-generated reporting
  • With each hospital function, assist veterinarians and the medical team to maximize productivity and maintain positive patient flow.
  • Communicate with clients about individualized pet health concerns and offer guidance on medications, and additional treatments.
  • Assist in maintaining relevant, comprehensive medical records with the support of practice systems.
  • Obtain relevant health history and information from clients and maintain medical charts.
  • Use safe restraining techniques, follow standard protocols, and sustain clean, sterile, organized treatment areas, exam rooms, and labs.
  • Be willing to guide, mentor, and support fellow team members.
