Heritage Insurance Holdings, Inc. in Tampa, FL is seeking a detail-oriented Vendor Relations Representative I to support the Vendor Management team. You will coordinate vendor relationships, assist with onboarding, documentation, and basic software training.

Qualifications

  • High school diploma or GED required; an associate degree in a related field is preferred.
  • Minimum of six months of customer service experience, preferably in a high-volume or service-focused environment.
  • Proficiency in Microsoft Excel, including data tracking, reporting, and analysis; working knowledge of Microsoft Word, PowerPoint, and Outlook.

Responsibilities

  • Communicate directly with vendors regarding compliance requirements, required documentation, deadlines, and outstanding items.
  • Monitor vendor compliance records and follow up on missing, incomplete, or expired documentation.
  • Review vendor information and supporting documentation for accuracy, completeness, and compliance with established requirements.
  • Review vendor contracts and related documents using established checklists to identify missing information, incomplete sections, or required documentation; obtain corrections or elevate issues as needed.
  • Deliver basic software training to vendors using approved training materials, procedures, and criteria.
  • Respond to vendor inquiries regarding compliance requirements, documentation, system processes, and established procedures.
  • Prepare and maintain vendor, compliance, and operational reports.
  • Identify discrepancies in vendor records and work directly with vendors to obtain corrections or missing information.
  • Cross-train in key vendor-related responsibilities and provide backup support as needed.
  • Occasionally attend vendor conferences and events with the Vendor Relations Manager; occasional overnight travel may be required.

About the Role

The Vendor Relations Representative I provides support to the Vendor Management team by coordinating vendor relationships and maintaining compliance with established company requirements and procedures. This role serves as a key point of contact for vendors, providing support with compliance matters, onboarding and documentation, basic software training, reporting, and initial contract reviews.

What You'll Bring

  • Ability to manage multiple tasks, adapt to changing priorities, and maintain service levels in a fast-paced operating environment.
  • Availability to work evenings, nights, weekends, and on-call shifts during a Category (CAT) event or other periods of increased business demand.
