Job summary

Cox Enterprises is seeking a detail-oriented Vehicle Operations Logistics Specialist to support transportation of customer vehicles across multiple locations. The role involves handling emails, coordinating with carriers, and managing VINs within a fast-paced environment.

The ideal candidate will have 1–3 years of administrative experience, strong Excel/Outlook/Word skills, and the ability to work independently in a matrix organization.

Qualifications

• 1-3 years administrative experience (automotive industry preferred).

Responsibilities

• Show proficiency with communication via recorded line phone system.
• Manage email boxes for multiple locations and collaborate on regional emails.
• Manage escalated Client Success VINs with peers and agents.
• Monitor holds and verification delays.
• Action AutoIMS for Trans Delay Holds, Cancellations, ETA’s.
• Follow up with carriers on several VINs daily.
• Investigate kickback of VINs by carriers to re-dispatch units.
• Create and manage corrective action of a vendor.
• Monitor order entry failures and correct them.
• Enter all manual orders and process other AS400 system orders.
• Process Fees and post assessorial charges to records.
• Understand margin relative to position and track margin requirements.
• Monitor and correct master data files for location errors.
• Measure performance and generate reports for clients and vendors.
• Report on performance results for management and executives.
• Compile vehicle transportation data and analytics.
• Follow all job-related duties as directed by supervisor.
• Be an outside the box thinker who can solve problems quickly.

Key Responsibilities:

• Entry of all manual orders and processing of other AS400 system orders
• Process Fees and post assessorial charges to record
• Understanding of margin relative to position and some tracking of margin requirements
• Monitoring and correcting master data files for location errors
• Measuring performance – understanding analytics for clients and vendors
• Report on performance results for high level management and executive leaders
• Compile vehicle transportation related data and generate reports

Required:

• 1-3 years administrative experience (in automotive industry preferred)
• Working knowledge of computer usage including Microsoft Excel, Outlook, and Word
• Ability to work independently in a matrix environment to execute and deliver results
• Excellent customer service and multi-tasking skills

• High attention to detail including precise data entry
• Excellent written and verbal communication skills
• Ability to work with a high sense of urgency in a dynamic, fast-paced environment
• High School Diploma or equivalent
• Valid Driver’s License and the ability to pass a background check and drug test required.

Preferred:

• Some college education
• 1+ years’ experience in transportation field or automotive auction house
• 1+ years’ experience in call center
