Job summary

The Vehicle Operations Logistics Specialists will facilitate and manage the process of transportation of customer vehicles within an assigned region.

The finalized candidates will be working one day a week out of one of these locations: Manheim Nashville, Manheim Statesville, Manheim Kansas City, Manheim St. Louis, Manheim New Orleans, Manheim Orlando, and more. You’ll support regional coordination with carriers, clients and internal teams to ensure timely VIN handling and reporting.

Qualifications

• 1–3 years administrative experience (in automotive industry preferred).
• Working knowledge of Microsoft Excel, Outlook, and Word.
• Ability to work independently in a matrix environment to deliver results.
• Excellent customer service and multi-tasking skills.
• High attention to detail including precise data entry.
• Valid Driver’s License and ability to pass background check and drug test.

Responsibilities

• Show proficiency with communication via recorded line phone system.
• Manage email boxes for multiple locations and collaborate on regional emails.
• Handle escalated Client Success VINs with peers and agents.
• Monitor holds and verification delays.
• Process Trans Delay Holds, Cancellations, ETAs in AutoIMS.
• Follow up with carriers on several VINs daily.
• Request Hold Harmless/Releases.
• Investigate VIN kickbacks by carriers to re-dispatch units.
• Create and manage corrective action of a vendor.
• Monitor and correct master data files for location errors.
• Measure performance and generate reports for management.
• Compile vehicle transportation data and reports.
• Follow all job-related duties as directed by supervisor.

Key Responsibilities:

• Action AutoIMS for Trans Delay Holds, Cancellations, ETA’s
• Following Up with carriers on several VINs daily
• Request Hold Harmless/Releases
• Investigating kickback of VINs by carriers to get units re-dispatched
• Create and manage corrective action of a vendor
• Monitoring order entry failures throughout the day and correct
• Entry of all manual orders and processing of other AS400 system orders
• Process Fees and post assessorial charges to record
• Understanding of margin relative to position and some tracking of margin requirements
• Monitoring and correcting master data files for location errors
• Measuring performance – understanding analytics for clients and vendors
• Report on performance results for high level management and executive leaders
• Compile vehicle transportation related data and generate reports
• Follow all job-related duties as directed by supervisor
• Be an outside the box thinker who can solve problems quickly

Required:

• 1-3 years administrative experience (in automotive industry preferred)
• Working knowledge of computer usage including Microsoft Excel, Outlook, and Word
• Ability to work independently in a matrix environment to execute and deliver results
• Excellent customer service and multi-tasking skills

• High attention to detail including precise data entry
• Excellent written and verbal communication skills
• Ability to work with a high sense of urgency in a dynamic, fast-paced environment
• High School Diploma or equivalent
• Valid Driver’s License and the ability to pass a background check and drug test required.

Preferred:

• Some college education
• 1+ years’ experience in transportation field or automotive auction house
• 1+ years’ experience in call center
