Job summary

Cox Enterprises seeks a Vehicle Operations Logistics Specialist to facilitate and manage the transportation of customer vehicles within an assigned region.

The role requires 1–3 years of administrative experience and proficiency with Excel, Outlook and Word, plus strong communication in a fast-paced, detail-focused environment. You will work one day per week from listed locations and coordinate with carriers and internal teams.

Responsibilities

• Show proficiency with communication via recorded line phone system.
• Manage email boxes for multiple locations and collaborate on regional emails.
• Handle escalated VINs with peers and agents and monitor delays.
• Process AS400 orders and manage manual orders.
• Analyze performance data and report results to leadership.
• Coordinate with carriers to track VINs and dispatch units.
• Maintain master data accuracy for locations and margins.

The Vehicle Operations Logistics Specialists will facilitate and manage the process of transportation of customer vehicles within an assigned region.

Key Responsibilities:

• Show proficiency with communication via recorded line phone system
• Manage email boxes for multiple locations and collaborate on regional emails
• Manage escalated Client Succes VINs with peers and agents
• Monitor holds and verification delays
• Action AutoIMS for Trans Delay Holds, Cancellations, ETA’s
• Following Up with carriers on several VINs daily
• Request Hold Harmless/Releases
• Investigating kickback of VINs by carriers to get units re-dispatched
• Create and manage corrective action of a vendor
• Monitoring order entry failures throughout the day and correct
• Entry of all manual orders and processing of other AS400 system orders
• Process Fees and post assessorial charges to record
• Understanding of margin relative to position and some tracking of margin requirements
• Monitoring and correcting master data files for location errors
• Measuring performance – understanding analytics for clients and vendors
• Report on performance results for high level management and executive leaders
• Compile vehicle transportation related data and generate reports
• Follow all job-related duties as directed by supervisor
• Be an outside the box thinker who can solve problems quickly

Required:

• 1-3 years administrative experience (in automotive industry preferred)
• Working knowledge of computer usage including Microsoft Excel, Outlook, and Word
• Ability to work independently in a matrix environment to execute and deliver results
• Excellent customer service and multi-tasking skills

• High attention to detail including precise data entry
• Excellent written and verbal communication skills
• Ability to work with a high sense of urgency in a dynamic, fast-paced environment
• High School Diploma or equivalent
• Valid Driver’s License and the ability to pass a background check and drug test required.

Preferred:

• Some college education
• 1+ years’ experience in transportation field or automotive auction house
• 1+ years’ experience in call center
