Job summary

The Surgical Clinic (TSC) in Middle Tennessee seeks a Medical Assistant Scheduler for the Vascular and Vein service line to coordinate patient care, schedule vascular surgeries, obtain authorizations, and ensure timely communication between patients, providers, and facilities.

The role includes assisting with in-office vascular procedures, pre-operative education, and documentation, while maintaining clinic readiness and a patient-centered approach.

Qualifications

• High School Diploma or GED is required.
• Graduate of Medical Assistant Training Program or 6-months recent Medical Assistant experience in a healthcare setting is required.
• BLS certification is required or must be obtained within three months of hire.
• Completion of CMA/RMA/CCMA is preferred.
• Minimum one year of prior surgery scheduling experience is preferred.
• Previous vascular or vein clinic experience is preferred.
• Familiarity with vascular procedures such as catheter care, wound care, and suture/staple removal is preferred.
• Knowledge of dialysis scheduling and coordination of vascular access patients is preferred.
• Experience with vascular ultrasound and imaging coordination preferred.
• Maintain OSHA/HIPAA compliance
• Proficient in EMR (eCW) and Microsoft Office
• Ability to multitask and prioritize in a fast-paced environment

Responsibilities

• Supports vascular in-office procedures and minor procedures as directed by the provider.
• Assumes the scrub tech role by prepping and draping patients using sterile technique for vein procedures.
• Assists surgeons during sterile procedures, cleans and bandages patients post-procedure, and monitors recovery.
• Cleans, sterilizes, and prepares instruments following procedures.
• Prepares tumescent anesthesia for each procedure as instructed.
• Cross-trains in insurance predetermination and front office responsibilities.
• Answers clinical calls from patients and returns calls promptly.
• Coordinates with dialysis clinics to schedule office visits and procedures around dialysis sessions.
• Works with vascular ultrasound sonographers to ensure order of studies and aligns imaging with visits.
• Coordinates with referral coordinators to expedite appointments and imaging.
• Coordinates with TSC Prosthetics for prosthetic evaluation and follow-up.
• Coordinates with SNFs, jails, and prisons to arrange testing and follow-up.
• Ensures timely completion of MIPS requirements for assigned providers.
• Manages outgoing referrals and notifies providers of incomplete follow-through by patients.
• Maintains accurate clinical documentation and patient education materials.
• Rooms patients and reviews medical histories and EMR records.
• Administers medications or injections as ordered (if certified).
• Coordinates referrals to physical therapy and other specialties.
• Manages patient flow and scheduling follow-up appointments.
• Answers and routes multi-line calls for timely communication.
• Prepares and maintains exam rooms and medical supply levels.
• Orders and tracks durable medical equipment and labs.
• Responds promptly to requests while adhering to policies and compliance standards.
• Performs other related duties as assigned.
